Now Hiring an Accounting Assistant (Accounts Receivable & Accounts Payable) Department: Accounting Reports To: Accounting Manager / Controller FLSA Status: Non-Exempt Employment Status: Full-Time Position Summary The Accounting Assistant supports the daily financial operations of Planet Glass by processing customer invoices, collecting payments, paying vendors, maintaining accurate financial records, and assisting with accounting functions. This position ensures timely cash flow, accurate reporting, and excellent internal and external customer service. Essential Duties & Responsibilities Accounts Receivable (AR) Create and distribute customer invoices. Post customer payments accurately. Monitor aging reports. Follow up on past-due accounts. Process deposits. Reconcile customer accounts. Assist with collections and lien documentation. Coordinate billing with Project Managers and Specialty Glass Consultants. Maintain accurate customer records. Accounts Payable (AP) Process vendor invoices. Match invoices to purchase orders. Verify pricing and approvals. Prepare vendor payments. Reconcile vendor statements. Maintain vendor files and W-9 records. Resolve invoice discrepancies. Code invoices correctly. Maintain organized AP records. General Accounting Enter transactions into accounting software. Scan and file accounting documents. Assist with month-end closing. Support payroll documentation. Maintain confidentiality. Prepare reports for management. Follow accounting procedures and internal controls. Support other departments as needed. Required Qualifications High school diploma or GED. One year of bookkeeping, accounting, AR or AP experience preferred. Basic accounting knowledge. QuickBooks or similar software preferred. Microsoft Office proficiency, especially Excel. Excellent attention to detail and organization. Professional communication skills. Ability to maintain confidentiality. Reliable attendance. Preferred Qualifications Associate degree in Accounting, Business or Finance. Construction accounting experience. Purchase order and job costing experience. Commercial billing and collections experience. Lien waiver documentation experience. Knowledge, Skills & Abilities Strong math aptitude. Accurate data entry. Time management. Problem-solving. Physical Requirements Sit for extended periods; frequent computer use; occasionally lift up to 25 pounds; file and retrieve documents. Work Environment Professional office environment.
