Research Administrator II - Research Administration

The Research Administrator II is responsible for assisting investigators and staff with activities related to the lifecycle of sponsored projects and clinical trials. This is a cradle to grave grants administration position that includes proposal development and submission, award and contract negotiation and acceptance, and award management including invoicing, budget monitoring, and audit compliance. The ideal candidate will hold a professional certification such as CRA (Certified Research Administrator), CFRA (Certified Financial Research Administrator), or CPRA (Certified Pre-Award Administrator). Note: Work location is on-site with the flexibility to work remotely, the primary location will be in-office for meetings, per Kaiser Permanente-s Authorized States Policy - Employees may be required to travel to a Kaiser Permanente or customer site. Residency required in the primary location: 9 Piedmont Center, 3495 Piedmont Rd., NE, Atlanta, Georgia 30305 Job Summary Participates in the pre-award and/or post-award administration of research contracts and grants. Supports and may perform the drafting and review of proposal application elements to prepare submissions in compliance with all applicable federal, state, and local regulations, and KP policies and procedures. Develops and justifies project budgets and revises budgets in correspondence with award documents, with minimal guidance. Participates in the ongoing monitoring of awards and research processes and guidance for compliance with applicable terms, regulations, and KP policies and procedures. Participates in award closeout, working with the project team to prepare and submit reports to sponsors, with some guidance. Prepares and provides research accounting documentation and entries, with some guidance. Participates in month- and/or year-end close, and/or audit-related processes. Begins to review and route incoming and outgoing agreements, and may begin to negotiate basic contracts and agreements. Assists with post-award administration by: revising the budget to correspond with pending award documents in collaboration with project team, with minimal guidance; tracking progress reports and prior approval request due dates, and completing administrative requirements from funders with some guidance; following general directions to perform day-to-day post-award activities (e.g., purchasing items; reviewing expenses, effort, and projections; performing reconciliations; invoicing) to support projects in collaboration with the project team with minimal day-to-day supervision; participating in the completion of post-award requirements (e.g., annual reports, final reports) in collaboration with project team; establishing and maintaining award systems, files, and accounts with limited guidance; beginning to review and route incoming and outgoing agreements for negotiation and execution; and participating in the award closeout process and working with project team on closeout reports for submission to sponsor, with some guidance. Assists with pre-award administration by: supporting and possibly performing the drafting and review of research proposal application elements, in collaboration with the project team, according to proposal guidelines for submission, with some guidance; leveraging guidance to apply research methodologies, processes, and/or protocols, and utilize grant management software and other related systems; beginning to answer questions from stakeholders related to pre-award administration and proposal development, including the interpretation and application of granting agency policies, procedures, and regulations; developing and justifying project budgets in collaboration with the project team, with some guidance; and collaborating with project team and Investigator to participate in the preparation of submissions (e.g., just-in-time) and in the award acceptance process. Assists in research accounting by: preparing and providing accounting documentation (e.g., invoice, financial reports) of contracts and grants with some guidance; and collaborating with the project team on the preparation and provision of accounting entries (cost transfers, accruals), journal adjustments, and interregional invoicing documentation, and participating in month-end, year-end, and/or audit-related close. Assists with research administration compliance by: editing drafts of proposals with minimal guidance, in compliance with all applicable federal, state, and local regulations and KP policies and procedures; and implementing research processes, procedures, and guidance to support compliance with federal and KP regulations under guidance. Assists in research contracting by: beginning to negotiate basic contracts or agreements (e.g., amendments/modifications, confidentiality); independently reviewing, editing, and providing consultation to research administrators and Investigators on basic contract and legal terms (e.g., contract law, statements of work); and learning from and collaborating with senior team members on standard contracts and agreements (e.g., data sharing and management plans, intellectual property licensing agreements, artificial intelligence projects, unique regulatory requirements) and/or standard contract and legal terms (e.g., publication, confidentiality, intellectual property, data use, privacy and/or human subject regulations). Learns to maintain internal and external stakeholder relationships by: communicating with internal (e.g., legal, purchasing) and external stakeholders (e.g., funders, contractors), as appropriate, with minimal guidance.
