Employment Type Staff Internal Job Category Exempt (Staff) Status Full-Time Department College of Medicine Hours 37.5 Primary Duties and Responsibilities The Clinical Science Coordinator for ICP, reporting to the ICP Director, plays a pivotal role in developing, implementing, and supervising diverse facets of medical student clinical education programs within the Foundational and Clinical Sciences Department. This position is instrumental in ensuring the efficient functioning and coordination of the ICP preceptorship programs and clinical initiatives in the pre-clerkship phases of the curriculum (e.g. clinics, service learning, IPE etc.). Primary Position Responsibilities Create and implement student clinic assignments in the pre-clerkship clinical training phase of the curriculum, assigning placements to clinic sites in scheduling software, monitoring survey completion, addressing inquiries, and providing guidance on program requirements. Coordinate and develop orientation materials and tookits for incoming students and preceptors, ensuring they are familiar with clinic and ICP policies and procedures. Serve as a resource for students throughout their clerkship/rotation experiences, addressing any concerns or challenges they may encounter. Negotiate with preceptorship sites to facilitate student placements, ensuring all requirements for payment are complete (affiliation agreements, appointments, financial documentation) and represent FCoM in financial negotiations with practices. Issue invoices for payment to Belmont on behalf of all preceptors twice a year. Supervise and manage logistics of payment, including communication with clinic managers, HR, physicians, and other pertinent stakeholders. Regularly exercise discretion and independent judgement in representing the ICP program in the coordination and leading of meetings, preparing agendas, and maintaining documentation. Utilize advanced educational experience to develop and distribute educational materials, such as handbooks, manuals, syllabi, and training resources. Supervise and manage additional tasks related to ICP operations, such as data entry, file organization, and record-keeping. Organize special events and activities related to ICP and clerkship programs, such as orientation sessions, workshops, and networking opportunities. Oversee and implement logistics for educational events, including venue selection, catering arrangements, and audiovisual support. Determine vendors and authorize payment for these community-facing events on behalf of FCoM. Collaborate with faculty and staff to ensure events are well-planned and executed effectively. Create and maintain regular communication with stakeholders, including students, faculty, site coordinators, and external partners. Create and disseminate information about ICP program updates, policies, and deadlines through various communication channels. Actively recruit and enroll preceptors with outreach efforts to promote preceptorship opportunities and ensure appropriate clinical sites. Assist ICP sub-program directors of Service Learning & Interprofessional Engagement with scheduling and communication with students, external service organizations, and other Belmont allied health departments. Manage and oversee logistics and negotiations for event planning needs for ICP POCUS program. Independently represent ICP director with scheduling, organization, and coordination of simulation center activities. Facilitate biweekly planning meetings for ICP department. Identify and design quality improvement initiatives aimed at enhancing the effectiveness and efficiency of ICP programming. Analyze ICP financial standing and budget allocation and identify opportunities for improved efficiency in the ICP department. Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software. Experience working in a fast-paced environment and the ability to respond to high-pressure situations. Ability to thrive in an environment of hard work. Ability to work effectively with a wide range of constituencies in a diverse community. Required Education Bachelor's degree in Healthcare Administration, Education, or related field is required. Master's degree is preferred. Required Experience 1-3 years experience in program coordination, administrative support, preferably in medical education setting is required. 4-6 years experience is preferred.
