Banquet Supervisor

Willoughby Golf Club is seeking an experienced and highly organized Banquet Supervisor to join our Food & Beverage team. The Banquet Supervisor is responsible for coordinating and overseeing the setup and execution of private events, member functions, meetings, and special occasions while ensuring a high level of service and attention to detail. This is a full-time position working variable hours.

This position works closely with the Catering & Special Events Manager, Executive Chef, Dining Room Managers, and banquet staff to ensure each event runs smoothly from setup through breakdown.

Responsibilities

• Coordinate the setup, service, and breakdown of banquet rooms and event spaces.
• Review Banquet Event Orders (BEOs), room diagrams, timelines, and special event requirements.
• Work closely with the Catering Manager and Chef to coordinate food service, buffets, and event timing.
• Coordinate with Dining Room Managers and food runners to ensure timely and organized food service.
• Supervise and provide direction to banquet setup and food runner staff.
• Ensure tables, chairs, linens, china, glassware, silverware, buffet equipment, and other event items are properly set and ready for service.
• Maintain accurate inventory of banquet equipment and supplies.
• Inspect event spaces and front-of-house areas to ensure cleanliness, appearance, safety, and overall readiness.
• Communicate with Housekeeping and other departments regarding event needs.
• Assist with member and guest concerns and ensure issues are handled professionally and promptly.
• Assist with coordinating outside rentals, dcor, entertainment, and other event services.
• Participate in pre-shift meetings, BEO meetings, staff meetings, and post-event debriefs.
• Work with the Catering Manager to identify opportunities to improve future events and enhance the member and guest experience.
• Assist with catering-related administrative and financial information, including P&L documentation.
• Monitor guest areas for room temperature, lighting, sound, cleanliness, and overall presentation.
• Ensure all shift documentation is accurate and complete.
• Assist with Manager-on-Duty and closing responsibilities when assigned.
• Maintain a professional appearance and demeanor consistent with the standards of Willoughby Golf Club.
• Follow all Club policies, safety procedures, and applicable regulations.
• Assist other departments and perform additional duties as assigned.

Qualifications

• High school diploma or GED required.
• Two or more years of banquet, catering, food & beverage, hospitality, private club, hotel, or resort experience preferred.
• Previous supervisory experience preferred.
• Excellent communication and organizational skills.
• Strong attention to detail and the ability to anticipate event needs.
• Ability to multitask, prioritize, and remain calm in a fast-paced environment.
• Ability to work effectively with members, guests, employees, management, and vendors.
• Strong problem-solving skills and the ability to make sound decisions under pressure.
• Ability to understand and follow BEOs, room diagrams, and detailed event instructions.
• Comfortable working a flexible schedule, including evenings, weekends, holidays, early mornings, and late nights based on the Club's event schedule.
• Food Safety and Responsible Vendor/Alcohol certifications required or must be obtained as required.
• Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and computerized POS systems. Experience with Jonas is a plus.

Physical Requirements

• Ability to stand and walk for extended periods during events.
• Ability to walk up and down stairs throughout the workday.
• Ability to lift and move items weighing up to 30 pounds.
• Ability to move tables, chairs, and banquet equipment as needed.
• Ability to work both indoors and outdoors.
