The Senior Program Coordinator supports the day-to-day operations of the DukeLIFE programs that support academic success and belonging among lower-income and first-generation college students. This role independently coordinates several student resource initiatives, ensuring programs are implemented effectively and in alignment with established policies and procedures.

The Senior Program Coordinator manages program logistics, reviews and processes student applications within approved guidelines, maintains accurate student rosters and participation records, oversees tracking systems, and executes website updates to ensure current and reliable program information. The position serves as a primary operational contact for students and campus partners and reports to the Director of DukeLIFE.

• Demonstrated experience coordinating multiple programs or initiatives simultaneously, including managing timelines, logistics, and competing deadlines.
• Experience reviewing applications or administering programs in accordance with established policies and eligibility guidelines.
• Experience maintaining accurate records and managing data using systems such as Airtable or similar database platforms; ability to generate reports and ensure data integrity.
• Advanced proficiency in Microsoft Excel.
• Strong organizational and project management skills, with demonstrated attention to detail and ability to execute deliverables to a high professional standard.
• Excellent written and verbal communication skills, with the ability to communicate clearly and effectively with students, faculty, staff and campus partners.
• Demonstrated ability to exercise sound professional judgment, handle confidential information with discretion, and escalate issues appropriately within established guidelines.
• Understanding of student cognitive, social, and emotional development at the post-secondary level.

MINIMUM QUALIFICATIONS

Education - Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience - Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

Program Coordination

• Ability to independently coordinate multiple student-facing programs with competing deadlines and logistical requirements.
• Ability to sustain strong project management skills, including planning, prioritizing, problem-solving, and following through to ensure timely and effective implementation of established initiatives.

Work Performed

Program Coordination and Administration 60%:

• Coordinate the Course Materials Assistance Program by reviewing applications, verifying eligibility, and approving requests consistent with office policies.
• Administer the DukeLIFE Loaner Laptop Program, reviewing and approving student requests in compliance with established policies and eligibility criteria. Collaborate with OIT to manage equipment distribution and tracking.
• Collaborate with Duke Stores to coordinate the Tech Collaborative and commencement regalia programs.
• Maintain the DukeLIFE STEM Tutoring program in Penji.
• Collaborate with the Academic Resource Center (ARC) to coordinate the STEM Tutoring program, as needed.
• Serve as the primary point of contact for students participating in assigned programs; respond to inquiries and provide guidance on processes and policies.
• Identify operational challenges and recommended procedural improvements to enhance program efficiency and student experience.
• Order office supplies on behalf of the unit.

Data Management and Systems Administration 35%:

• Maintain the DukeLIFE student roster and oversee program participation tracking across all unit initiatives using Airtable and other university systems.
• Ensure accuracy, integrity, and confidentiality of student data; generate reports to support program assessment, planning, and reporting needs.
• Monitor participation trends and assist in compiling data summaries for DukeLIFE staff and external stakeholders.
• Develop and maintain documentation for program procedures and data management practices.
• Manage DukeLIFE’s automated and ad hoc groups in Emma, the university’s mailing group manager.
• Maintain and update DukeLIFE website content information to ensure information about assigned programs is accurate, current and accessible. Implement content updates requested by colleagues and ensure compliance with university policies and established web standards.

Outreach and Collaboration 5%:

• Collaboration with campus partners, including Financial Aid, the ARC, OIT, Duke Stores, and Student Affairs, to coordinate resource programs that promote the success of lower-income and first-generation college students.
• Represent the office by serving on internal and external committees and work groups.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $49,939.00 to USD $79,487.00.
