Key Personnel is seeking a Full-Time Medical Records Clerk in Tulsa, OK

Medical Records Clerk Pay Rate: $18-$20/hr

Medical Records Clerk Hours: Monday – Friday, 8:00 AM – 4:30PM

Key Personnel is working with a busy nephrology practice seeking a reliable, detail-oriented, and organized Medical Records Clerk to support the medical records, billing, and administrative teams.

The Medical Records Clerk will be responsible for ensuring medical records and documentation are accurate, complete, properly dated, and sent according to requested dates of service. This position will also support hospital patient intake, insurance verification, referral authorizations, accounts receivable follow-up, claim updates, and general medical records requests.

Medical Records Clerk Essential Duties & Responsibilities

• Prepare hospital lists for accurate charge entry.
• Enter accurate patient and hospital information into the NSO system for new hospital patients.
• Verify insurance information for new hospital patients.
• Review hospital referrals for required authorizations related to upcoming visits.
• Follow up with self-pay patients regarding Medicaid or other available insurance coverage.
• Update insurance information for patients previously classified as self-pay.
• Resubmit claims when updated insurance information is received.
• Answer phone calls regarding medical records requests and auditor visits.
• Process and respond to medical records requests as appropriate.
• Ensure medical records are sent with the correct dates of service requested.
• Support the nephrology billing team with documentation and medical record requests.
• Scan, upload, organize, and maintain patient documentation and insurance records.
• Maintain accurate and organized electronic and physical records.
• Process returned mail and update patient records as appropriate.
• Maintain deceased patient reports.
• Review and maintain bad address reports.
• Assist with identifying and correcting discrepancies in patient demographic and insurance information.
• Communicate professionally with patients, families, providers, hospitals, dialysis facilities, and insurance representatives.
• Maintain patient confidentiality and comply with HIPAA requirements.
• Work collaboratively with clinical, billing, front-office, and administrative staff.
• Perform other duties as assigned.

Medical Records Clerk Qualifications

• High school diploma or equivalent required.
• Previous office, medical records, healthcare, billing, or administrative experience preferred but not required.
• Basic knowledge of medical terminology and healthcare procedures preferred.
• Experience with EHR/EMR systems preferred.
• Proficiency with Microsoft Office and basic computer systems.
• Excellent written and verbal communication skills.
• Strong keyboarding and data-entry skills.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Ability to follow detailed procedures and maintain accurate documentation.
• Strong problem-solving and follow-up skills.
• Ability to work effectively with clinical, billing, front-office, and administrative teams.

Medical Records Working Conditions

• Outpatient nephrology clinical office setting.
• Work location is in person.
• Monday – Friday, 8:00 AM – 4:30 PM.
• Frequent sitting and walking throughout the workday.
• Occasional lifting of up to 25 pounds.
• Regular interaction with patients, families, providers, dialysis facilities, hospitals, and other healthcare partners.
• Fast-paced environment requiring accuracy, confidentiality, and timely completion of assigned tasks.
