Pay: $18 - $20 per hour

About the Role

We are looking for a dependable and detail-oriented Mail Clerk Associate to support our headquarters in The Woodlands, Texas. This role is responsible for the daily processing and distribution of incoming and outgoing mail and packages, as well as document imaging, scanning, indexing, filing, and records processing.

The ideal candidate is organized, comfortable working with both physical and electronic documents, and able to manage routine tasks accurately and efficiently. This position will also provide administrative support for document processing projects and other mailroom activities as needed.

Key Responsibilities

• Receive, sort, organize, and distribute incoming mail, packages, and deliveries to the appropriate recipients or departments.
• Prepare and process outgoing mail, courier shipments, packages, and other deliveries.
• Image, scan, index, and digitize documents in accordance with established company procedures.
• Print, scan, copy, assemble, and prepare documents as requested.
• Process, organize, maintain, and file physical and electronic documents and records.
• Perform quality checks to verify documents are accurate, complete, legible, and properly processed.
• Maintain an organized mailroom and document processing area.
• Follow established procedures for handling, routing, storing, and processing company documents and records.
• Support daily mailroom, document management, and records processing activities.
• Assist with special document processing projects and other administrative tasks as needed.
• Communicate effectively with employees, departments, couriers, and service providers regarding mail and document requests.
• Handle company information and documents with appropriate care and confidentiality.

Qualifications

• High school diploma or equivalent preferred.
• Previous experience in a mailroom, office services, document processing, records management, administrative, or similar environment preferred.
• Strong attention to detail and accuracy.
• Ability to organize and prioritize multiple tasks in a fast-paced environment.
• Comfortable working with computers, printers, scanners, copiers, and other standard office equipment.
• Basic proficiency with Microsoft Office and the ability to learn document management and imaging systems.
• Ability to perform repetitive tasks while maintaining a consistent level of accuracy.
• Strong organizational and time-management skills.
• Reliable, dependable, and able to work effectively both independently and as part of a team.
• Ability to safely handle and move mail, packages, boxes, and documents as required by the role.
