Management Assistant

City-of-Azle,-Tx

The City of Azle is seeking a highly motivated, detail-oriented, and innovative professional to serve as our next Management Assistant. This role will support the City Manager and Assistant City Manager in coordinating special projects, conducting research and analysis, and facilitating communication across departments and with external stakeholders. Position Summary Reporting to the City Manager, the Management Assistant performs highly responsible administrative and professional work in support of the city’s executive leadership. The position requires independent judgment, initiative, discretion, and the ability to manage multiple priorities in a dynamic municipal environment. Essential Functions Assist in the preparation of agendas, presentations, and supporting materials for the City Council and other boards and committees. Coordinate and manage special projects and initiatives as assigned by the City Manager or Assistant City Manager. Respond promptly to citizen inquiries, complaints, and requests for information in a professional manner, providing accurate feedback and tracking issues through resolution. Facilitate communication between the City Manager’s office and all levels of staff by ensuring open and clear communication. Monitor public concerns and provide reports to management; organize and communicate management’s instructions to staff and department managers. Enhance communications, solve problems, improve operations, reduce turnaround times, and streamline work processes to deliver quality customer service. Maintain oversight of departmental budget, monitor expenditures, provide documentation for budget revisions, process invoices, purchase orders, and department payables. Act as liaison on special projects and programs; represent the City on community projects, associations, boards, or committees as directed. Conduct research and analysis of new programs, compile and analyze data, and prepare reports, presentations, and recommendations for executive leadership. Provide communications support such as newsletters, website, and social media content updates as needed. Maintain records and documents per retention procedures; provide general office administrative support as directed. Interact professionally and respectfully with the public, coworkers, and others in the course of daily work. Ensure regular and timely attendance; report to work outside normal hours when responding to natural disasters, emergencies, or critical incidents. Serve as backup to the City Secretary as needed. Represent the City Manager’s Office at meetings, events, and community engagements as assigned. Perform other related duties and special assignments as required. Knowledge, Skills, and Abilities Knowledge of principles and practices of public administration, local government operations, public relations, media communications, and community engagement strategies. Knowledge of applicable federal, state, and municipal laws, codes, and regulations. Strong working knowledge of Microsoft Office Suite; ability to produce professional-level reports, presentations, graphics, and correspondence. Skilled with research and statistical methods; ability to compile and analyze complex data. Ability to analyze problems, identify alternative solutions, and implement effective courses of action. Clear and effective oral and written communication with diverse audiences. Ability to establish and maintain positive working relationships with elected officials, city staff, community groups, and the public. Strong organizational and project management capabilities with the ability to meet competing deadlines. Sound judgment, confidentiality, and political acumen. Experience designing and executing staff strategies that leverage advanced technologies to streamline workflows and improve decision‑making. Proficiency in Microsoft Office Suite and related business applications. Knowledge of municipal government operations is preferred. Work Environment Work is performed primarily in an in‑person office environment, with occasional required attendance at evening or weekend City Council meetings and some community events. The position requires frequent use of computers and standard office equipment, meeting tight deadlines, and managing multiple priorities. It involves frequent sitting, standing, walking, reaching, and occasional lifting of up to 25 lbs.
