Immediate opening for a HR Specialist in Moreno Valley, CA who possesses:
- 2 to 5 years of HR Specialist or HR Generalist experience
- Bachelor's degree or HR certification highly preferred
- Experience with ADP and strong technical skills
FULL DESCRIPTION: We are seeking an HR Specialist to support a wide range of human resources and payroll functions in a fast-paced, professional environment. This role is responsible for supporting payroll processing, employee records, onboarding, offboarding, compliance, HR reporting, employee engagement, and general HR administration. The ideal candidate will be detail-oriented, tech savvy, comfortable managing multiple priorities, and able to maintain strict confidentiality when handling sensitive employee information.
The selected candidate will be responsible for:
- Maintaining accurate employee information in the HRIS/payroll system, including leave balances, overtime, tax information, garnishments, and benefit deductions
- Reviewing approved timesheets and resolving inconsistencies to ensure accuracy and compliance with applicable rules and regulations
- Administering paychecks, direct deposits, deduction summaries, and earning statements on a semimonthly payroll schedule
- Preparing, processing, and filing state and federal payroll tax returns and required reports, including Form 941, DE 9, W-2, and W-3 filings
- Reconciling payroll accounts monthly and annually and completing assigned month-end close activities
- Preparing internal payroll reports and participating in internal and external audits as needed
- Researching and resolving payroll errors by completing necessary corrections and adjustments with appropriate approval
- Maintaining the highest level of confidentiality regarding all human resources activities
- Serving as a first point of contact for the HR department, including answering calls and greeting visitors professionally
- Processing Payroll Authorization forms and preparing contingent offer letters using established templates
- Managing new hire processes, including benefits enrollment, I-9 verification, and immunization record tracking
- Coordinating and conducting new hire orientation and onboarding activities
- Providing administrative support to HR staff, including managing correspondence, scheduling appointments, and preparing reports
- Assisting with employee leaves, workers' compensation claims, and EDD unemployment insurance claims
- Managing offboarding processes, including exit interviews, final paperwork, and return of company property
- Maintaining and auditing confidential HR files and records to support compliance
- Tracking mandatory training, certifications, and employee anniversary milestones
- Supporting employee appreciation events and other employee-focused activities
- Providing support to the Human Resources Supervisor and Chief Human Resource Officer on special projects and reports
- Cross-training in various HR and payroll functions to provide flexible team support
- Participating in department initiatives, special projects, and process improvements
- Providing backup coverage for other HR and payroll team members as needed
- Performing other duties as assigned
The selected candidate will also possess:
- Bachelor's degree in a related field or equivalent combination of education and work experience
- At least 3 years of direct payroll processing experience
- At least 2 years of human resources support experience strongly preferred
- In-depth knowledge of federal and California payroll tax and labor laws
- Experience with ADP preferred
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Experience with HRIS and payroll software
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Proven ability to maintain confidentiality and handle sensitive information with discretion
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Ability to work in a fast-paced, team-oriented environment
- Bilingual Spanish/English preferred
- Ability to pass background fingerprint clearance
- Ability to pass drug test clearance
Physical Requirements:
- Ability to sit and work at a computer for extended periods
- Ability to communicate by phone, email, video meeting, and in person throughout the workday
- Ability to review payroll records, HR documents, reports, employee files, and computer screens for extended periods
- Ability to use hands and fingers for typing, data entry, filing, and standard office tasks
- Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
- Ability to occasionally lift, carry, or move standard office files, documents, or supplies
