We are seeking an organized and detail-oriented Operations Coordinator to support order processing, shipping coordination, inventory control, customer service, and general administrative operations. This position works closely with customers, sales, supply chain, accounting, warehouses, and other internal teams to ensure accurate and timely processing of orders and shipments.

Position Summary
We are seeking an organized and detail-oriented Operations Coordinator to support order processing, shipping coordination, inventory control, customer service, and general administrative operations. This position works closely with customers, sales, supply chain, accounting, warehouses, and other internal teams to ensure accurate and timely processing of orders and shipments.
Key Responsibilities
- Process customer purchase orders and enter and maintain orders in the Great Plains system.
- Manage order changes, including increases, decreases, and cancellations.
- Update and coordinate shipping schedules and respond to customer inquiries regarding order status.
- Communicate with affiliated companies, customers, sales representatives, and internal teams regarding shipping schedules and documentation.
- Prepare packing lists and coordinate sample shipments.
- Manage returned merchandise (RMA) processes and coordinate with Sales, Supply Chain, and Accounting to track returns and credits.
- Monitor inventory levels, identify discrepancies, and maintain accurate inventory and logistics records.
- Process shipping documentation, invoices, shipping advice, and warehouse-related data.
- Coordinate with multiple warehouse locations and maintain required files and records.
- Support domestic interoffice and sample shipments.
- Provide general administrative support, including incoming/outgoing mail, office supplies and equipment, travel arrangements, company events, communication systems, and company vehicle maintenance.
- Assist Human Resources with new-hire paperwork.
- Respond to customer inquiries, distribute engineering specifications, proofread sales-related documents, and maintain account files.
- Assist with accounts receivable collection calls.
- Handle special projects and assignments as requested by management.
- Experience with order processing, shipping coordination, inventory control, customer service, or related operations is preferred.
- Knowledge of Microsoft Dynamics Great Plains is highly desirable.
- Bilingula skill in Japanese and English is preferred but not mandatory
- Strong organizational skills and attention to detail.
- Ability to coordinate effectively with customers, sales teams, accounting, supply chain, warehouses, and other internal departments.
- Strong communication and administrative skills.
- Ability to manage multiple priorities and maintain accurate records.
