Position Summary

The Hot Work Coordinator (HWC) serves as the central point of coordination for all contractor hot work performed during U.S. Navy ship repair and modernization projects. This position is responsible for planning, processing, coordinating, tracking, and documenting all hot work activities in accordance with NAVSEA Standard Item 009-08 and company operating procedures. The HWC plays a critical role in ensuring safe execution of shipboard hot work while minimizing production conflicts and supporting overall project schedule performance.

Working closely with Ship's Force, project management, production supervisors, subcontractors, government representatives, and fire safety personnel, the Hot Work Coordinator ensures all hot work is properly authorized, scheduled, documented, and executed in compliance with applicable Navy and shipyard safety requirements.

Essential Duties & Responsibilities

• Coordinate all contractor hot work activities in accordance with NAVSEA Standard Item 009-08.
• Serve as the primary point of contact for receipt, review, processing, and coordination of daily hot work permits.
• Review submitted hot work permits for completeness, accuracy, and compliance prior to submission to Ship's Force.
• Coordinate daily hot work execution with Ship's Force representatives, Fire Marshals, project management, production supervisors, and subcontractors.
• Maintain accountability for all active hot work occurring onboard assigned vessel(s) during each shift.
• Track and document hot work start and completion times while maintaining required daily hot work logs.
• Prioritize daily hot work activities based on the Integrated Production Schedule (IPS) while resolving scheduling conflicts between multiple contractors and production trades.
• Deconflict hot work activities with concurrent shipboard operations including painting, fuel transfers, ammunition handling, preservation activities, testing, and other operations where hot work restrictions apply.
• Attend daily production meetings, project coordination meetings, and Fire Safety Council (FSC) meetings to communicate hot work status, conflicts, and production impacts.
• Communicate daily permit limitations, scheduling constraints, and same-day submission restrictions to project personnel.
• Coordinate with Government AIT representatives and Ship's Force personnel to facilitate timely permit approval and execution.
• Support multiple ship repair projects simultaneously as production requirements dictate.
• Maintain ongoing communication with project managers regarding daily production priorities and planned hot work activities.
• Escalate permit discrepancies, safety concerns, or scheduling conflicts to the Hot Work Supervisor and Ship Management Team.
• Prepare and submit required weekly Condition Found Reports (CFRs) summarizing:
• Hot work permits submitted
• Hot work permits executed
• Unexecuted permits and reasons for non-execution
• Develop and submit rolling two-week hot work forecasts using the project Integrated Production Schedule (IPS).
• Maintain complete and accurate project documentation in accordance with company operating procedures.
• Ensure all hot work activities support project schedule objectives while maintaining strict adherence to safety requirements.

Required Qualifications

• Experience supporting U.S. Navy ship repair, shipbuilding, or maritime industrial environments.
• Working knowledge of NAVSEA Standard Item 009-08 requirements.
• Experience coordinating or administering hot work permit programs.
• Ability to interpret and work from Integrated Production Schedules (IPS).
• Strong understanding of shipboard production sequencing and compartment coordination.
• Experience working with multiple trades and subcontractors simultaneously.
• Strong organizational and documentation skills.
• Excellent verbal and written communication abilities.
• Proficient with Microsoft Office, including Excel, Outlook, and Word.
• Ability to prioritize multiple competing production requirements.
• Demonstrated attention to detail and commitment to safety.

Preferred Qualifications

• Previous experience as a Hot Work Coordinator or Hot Work Supervisor.
• Shipyard production planning or project coordination experience.
• Knowledge of Navy maintenance, modernization, or repair processes.
• Experience supporting Department of Defense or NAVSEA contracts.
• Familiarity with shipboard Fire Safety Council (FSC) processes.
• Experience generating production reports, forecasts, and project metrics.

Work Environment

This position is performed primarily within an active shipyard and onboard U.S. Navy vessels undergoing maintenance, repair, and modernization. The role requires frequent movement throughout shipboard compartments, production areas, and industrial environments while wearing required personal protective equipment (PPE).

Employees will be routinely exposed to industrial noise, confined spaces, ladders, varying weather conditions, and active construction operations. The position requires regular walking, climbing, standing, and coordination with multiple production teams throughout the workday.

Critical Success Factors

Success in this position requires exceptional organizational skills, proactive communication, and the ability to coordinate numerous concurrent production activities without compromising safety. The Hot Work Coordinator has a direct impact on project schedule performance, production efficiency, regulatory compliance, and personnel safety. Maintaining accurate permit control, preventing production conflicts, and ensuring safe execution of all hot work operations are essential functions of this role.
