Join our Physiatry team as a Clinic/Practice Assistant and play an important role in creating a smooth, welcoming experience for patients, providers, and care teams. Schedule: Monday–Friday, 7:30 a.m. to 4:00 p.m.; 40 hours per week. About the Role In this role, you will support the day-to-day operations of a busy clinical practice by performing a variety of administrative and clerical responsibilities. You will help keep schedules moving, assist patients with appointments and check-in/check-out needs, coordinate records and documentation, and serve as a key point of contact for patients and internal teams. What You’ll Do Make and maintain patient appointments while helping ensure schedules are accurate and efficient. Greet and assist patients, creating a positive and professional first impression. Answer phone calls, respond to routine inquiries, take messages, and help patients navigate appointment needs. Support check-in and check-out processes and assist with administrative needs related to patient visits. File, scan, print, fax, and organize documents related to patient care and practice operations. Process billing forms, co-payments when required, and documentation for the medical record. Request patient medical records, laboratory results, and other information needed by the care team. Open and distribute mail or faxes and type forms, records, schedules, memos, and other materials as directed. Assist with messages related to prior authorizations, provider questions, prescription refills, and test results. Serve as a resource for scheduling, registration, and billing systems, including providing support or training to others as needed. Perform more complex or specialized functions, such as surgical scheduling or schedule changes, as appropriate for the department. Qualifications What We’re Looking For High School Diploma or equivalent required. 2–3 years of office experience required. Certified Medical Administrative Assistant (CMAA) preferred. Proficiency with Microsoft Office applications and general office operations, including filing, copying, scanning, printing, and faxing. Strong phone skills with the ability to manage routine and non-routine calls professionally. Excellent written and verbal communication skills, including composing and editing emails, memos, and letters. Strong organization, attention to detail, and time management skills. Ability to manage multiple priorities, follow established protocols, and work effectively within clinical systems. Additional Job Details (if applicable) Why Join Us?
