SUMMARY:
We are a growing property management company seeking a seasoned, hands-on Senior Property Supervisor to lead a multi-state portfolio of multi-family and commercial properties , based out of our Mission Viejo, CA office. This is a senior leadership role for a strategic, self-directed professional who will supervise Property Managers and on-site teams, own portfolio-level performance, and ensure consistent operational excellence across California and the additional states in which we operate.
You will partner with executive leadership, ownership, on-site teams, vendors, and tenants to drive occupancy, protect, and grow asset value, and deliver a consistent, high-quality experience across the portfolio. DUTIES & RESPONSIBILITIES:
Portfolio Operations & Oversight
- Provide senior-level oversight of day-to-day operations and reporting for a multi-state portfolio of multi-family and commercial properties.
- Establish, monitor, and hold teams accountable to property performance goals — occupancy, leasing and closing ratios, renewal rates, delinquency, and NOI.
- Lead the preparation and management of annual property budgets; review monthly financial reporting with staff accountants and bookkeepers, identify variances, and direct corrective action.
- Review and approve monthly property reports prepared by Property Managers; prepare consolidated portfolio reporting for executive leadership and ownership.
- Conduct regular property inspections, including scheduled site visits to out-of-state properties, to ensure lease compliance, maintenance quality, curb appeal, and safety standards.
- Standardize operating procedures across properties and states; identify and implement process improvements that raise performance and consistency.
Leasing & Marketing
- Direct leasing and marketing strategy across the portfolio; monitor market conditions, competitor pricing, and absorption in each market served.
- Set and approve competitive rental rates and renewal strategies; negotiate and approve lease terms for multi-family units and commercial spaces in accordance with company procedures.
- Review and approve applications, financial credit, and lease history for complex or high-value leases; coach on-site teams on prospect qualification and consultative feature/benefit selling.
- Ensure vacancies are marketed effectively, priced correctly, and lease-ready.
Tenant & Resident Relations
- Serve as the escalation point for tenant and resident concerns that are not resolved at the property level.
- Ensure service requests are logged accurately, routed to maintenance for prompt resolution, and followed up to confirm satisfaction.
- Build and maintain long-term relationships with key commercial tenants and residents.
- Ensure full compliance with fair housing and landlord-tenant law in California and in every state where the portfolio operates.
Financial Administration
- Ensure all rents, deposits, and application fees are reported daily and accurately across the portfolio.
- Oversee delinquency management; ensure notices — late payment, returned check memos, and eviction notices — are issued in accordance with company policy and applicable state law.
- Audit lease paperwork, addendums, resident ledgers, bank deposits, and property financial reports for accuracy and completeness.
- Approve lease terminations and eviction proceedings; coordinate with legal counsel as needed.
- Review and approve property-level invoices and expenditures within established authority limits.
Property Presentation, Maintenance & Capital Projects
- Ensure leasing offices, model units, common areas, and vacant units/spaces are clean, welcoming, and lease-ready at every property.
- Contract with and manage vendors and contractors; negotiate service agreements, supervise repairs and maintenance work, and confirm quality of completion.
- Plan and oversee capital improvement projects and preventive maintenance programs; track budgets, timelines, and outcomes.
- Ensure property risk management, insurance, and safety requirements are met.
Records, Reporting & Compliance
- Ensure accurate resident and tenant records are maintained in accordance with company policy and applicable state regulations.
- Review daily reports covering notices to vacate, vacancy, and property activity.
- Ensure all leases, applications, and applicable reports are properly executed, organized, and filed with the appropriate parties.
- Maintain working knowledge of licensing, regulatory, and reporting requirements in each state where the portfolio operates.
Team Leadership
- Directly supervise Property Managers and on-site staff across multiple properties and states; coach for accountability, service standards, and professional development.
- Recruit, onboard, train, and retain team members in partnership with executive leadership and Human Resources.
- Conduct performance reviews, set clear expectations, and address performance issues promptly and professionally.
- Delegate effectively and monitor delegated work through completion.
- Model the company’s standards of professionalism, integrity, and service.
QUALIFICATIONS:
- Minimum 7 years of progressive property management experience, including at least 3 years supervising Property Managers or multiple properties, with hands-on experience in both multi-family and commercial portfolios.
- Experience managing properties in multiple states strongly preferred; ability to travel to out-of-state properties on a regular basis.
- High school diploma or GED required; bachelor’s degree in business, real estate, or a related field preferred.
- Strong command of property financials — ability to prepare, analyze, and interpret budgets, financial reports, and legal documents at the portfolio level.
- Demonstrated ability to lead, coach, and develop teams across multiple locations.
- Excellent written and verbal communication skills; professional presentation with ownership, tenants, vendors, and internal stakeholders.
- Proficiency in Microsoft Word and Excel; experience with property management software (Yardi, ResMan, AppFolio, or OneSite) strongly preferred.
- Analytical mindset with strong problem-solving skills and business acumen.
- Ability to work independently, manage multiple priorities, and thrive in a fast-paced, changing environment.
- Industry credentials (CPM, CAM, ARM, or RPA) a plus.
