SalSon/ East Group Logistics is seeking a highly organized and responsive Fleet Maintenance & Breakdown Coordinator to support the daily maintenance and roadside service needs of our commercial fleet.

This position serves as a key point of contact between drivers, maintenance personnel, repair facilities, roadside service providers, towing companies, vendors, and operations. The Coordinator is responsible for responding to equipment breakdowns, coordinating repairs, tracking vehicles through the repair process, and helping ensure trucks and trailers are returned to service as quickly and safely as possible.

The ideal candidate understands the urgency of transportation operations and is comfortable working in a fast-paced environment where communication, follow-up, and attention to detail are critical.

Essential Duties & Responsibilities

• Receive and respond to driver reports regarding truck, tractor, trailer, chassis, and other equipment breakdowns.

• Coordinate roadside assistance, towing, mobile repair, tire service, and outside repair vendors.

• Troubleshoot reported equipment issues with drivers and maintenance personnel to determine the appropriate next steps.

• Locate qualified repair facilities and service providers based on the equipment's location and repair requirements.

• Communicate with drivers throughout the breakdown and repair process and provide timely status updates.

• Coordinate with Dispatch and Operations regarding equipment downtime, repair status, and estimated return-to-service times.

• Create, maintain, and track repair orders and breakdown records.

• Follow up with vendors and repair facilities to prevent unnecessary delays.

• Obtain repair estimates and necessary approvals before authorizing work in accordance with company procedures.

• Review repair invoices and supporting documentation for accuracy.

• Track equipment that is out of service and maintain accurate information regarding repair status and expected completion.

• Assist with scheduling preventive maintenance and required fleet services.

• Monitor maintenance due dates and help ensure company equipment receives required inspections and scheduled services.

• Maintain accurate records of repairs, maintenance activity, vendor information, and equipment history.

• Coordinate tire repairs and replacements, including emergency road service when necessary.

• Assist with identifying recurring equipment problems and communicate trends to Fleet Maintenance leadership.

• Build and maintain productive relationships with repair shops, dealerships, towing companies, tire vendors, and roadside service providers.

• Escalate significant mechanical, safety, cost, or service issues to management when appropriate.

• Work closely with Fleet Maintenance, Safety, Dispatch, Terminal Operations, and drivers to minimize equipment downtime.

• Ensure equipment with known safety-related defects is appropriately addressed before returning to service.

• Perform additional fleet maintenance and operational duties as assigned.

Qualifications

• Previous experience in fleet maintenance, trucking, transportation, breakdown coordination, roadside assistance, maintenance dispatch, or a related field preferred.

• Knowledge of commercial trucks, trailers, chassis, tires, and common mechanical issues is strongly preferred.

• Familiarity with transportation and fleet maintenance terminology.

• Ability to communicate effectively with drivers, mechanics, vendors, dispatchers, and management.

• Strong organizational and follow-up skills.

• Ability to manage multiple breakdowns and repair situations simultaneously.

• Strong problem-solving skills and ability to make decisions in time-sensitive situations.

• Comfortable working with computer systems, email, spreadsheets, maintenance systems, and transportation management systems.

• Ability to maintain accurate records and documentation.

• Strong attention to detail.

• Ability to remain professional and composed in a fast-paced transportation environment.

A successful Fleet Maintenance & Breakdown Coordinator keeps communication moving and equipment downtime to a minimum. This individual takes ownership of each breakdown or repair from the initial call through completion, follows up consistently, maintains accurate records, and ensures drivers and operations are kept informed throughout the process.
