Department Operations Coordinator – Higher Education (Hybrid / Denver, CO)

Pay Rate: $26.00 – $28.50 / hour (DOE)

Job Type: Part-Time (15–20 hrs/week) | Long-Term Ongoing Assignment (12–24 Months)

Location: Remote / Denver, CO (1–2 days/month on-site)

Schedule: Monday – Friday, Daily Morning Block (~8:00 AM – 12:00 PM)

About the Role

Are you an organized, polished administrative professional looking for a flexible, high-impact part-time role? Above The Rest Staffing is seeking a Department Operations Coordinator to support executive leadership at a premier, well-known educational institution in downtown Denver!

This is a long-term, stable assignment that offers mostly remote flexibility while serving as a central hub for department communications, All-Hands meeting coordination, executive scheduling, and team culture initiatives.

What You’ll Do

• Department & Executive Logistics: Coordinate department-wide All-Hands meetings and bi-weekly team check-ins in virtual, hybrid, and in-person formats.
• Executive Support: Handle calendar management and high-priority meeting scheduling for the CIO and departmental Directors.
• Event & Tour Planning: Organize location tours, manage catering/food orders, coordinate schwag, and schedule photographers for special department events.
• Leadership Collaboration: Partner with the CIO and Directors on meeting themes, presentation materials, topic agendas, and MC assignments across teams.
• Financial & General Admin: Process PCard transactions, travel expense reports, invoice approvals, office supply orders, and quarterly form updates.
• Team Culture & Onboarding: Support new hire administrative onboarding and partner on department culture and recognition initiatives (condolences, celebrations, and team milestones).

What You Bring

• Experience: 3+ years of administrative, executive support, or department coordination experience (Higher Education or Public Sector experience is a major plus!).
• Tech Savvy: Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel) and Zoom.
• Schedule & Location: Ability to work a consistent daily morning schedule (8:00 AM to 11:00 AM/12:00 PM) and report on-site in Denver, CO 1–2 times per month as needed.
• Professional Polish: Exceptional written and verbal communication, discretion, and a collaborative, proactive mindset.
