We are seeking a highly organized, assertive, and results-driven Collections Specialist & Resident Administrator to join our team. This role balances heavy accounts receivable, delinquency resolution, and legal compliance with comprehensive lease administration and tenant coordination.

Your primary objective will be to minimize delinquencies, recover past-due balances, and ensure all legal documentation—from new leases to statutory notices—is drafted flawlessly and executed on time.

Key Responsibilities

• Rent Collection & Proactive Outreach: Relentlessly monitor daily rent rolls and tenant ledgers to identify delinquent accounts. Execute high-volume outreach to residents regarding past-due balances via phone, email, and formal written correspondence.
• Drafting Notices & Legal Preparation: Accurately draft, prepare, and serve all statutory and legal notices (e.g., 3-Day Notices to Pay or Quit, notices of lease violation) in strict compliance with state and local housing laws. Compile exhaustive ledgers, communication logs, and lease files to prepare accounts for eviction proceedings or small claims court.
• Data Tracking & Payment Plans: Maintain meticulously updated master case logs and spreadsheets detailing collection efforts, dispute statuses, and legal timelines. Negotiate, draft, and document approved payment plans for residents.
• Lease Drafting & Onboarding: Draft, review, and execute residential lease agreements, lease renewals, and property-specific addendums. Facilitate resident move-ins, ensuring all leasing documentation and deposits are fully processed.
• Resident Administration: Serve as the authoritative point of contact for tenant portal troubleshooting, ledger disputes, and lease inquiries. Intake and properly route incoming maintenance and legal requests to the appropriate internal departments with detailed, timestamped documentation.

Qualifications & Skills

• 3+ years in property management, with a strong, demonstrable background in collections, accounts receivable, and lease administration.
• Solid understanding of local landlord-tenant laws, Fair Housing regulations, and the legal timeline for delinquency notices.
• High proficiency in property management software and Microsoft Excel (ability to confidently manage, format, and track data logs is essential).
• Exceptional conflict resolution skills; ability to remain objective, authoritative, and composed when handling hostile or difficult financial conversations.
• Extreme attention to detail, specifically regarding financial ledgers, legal notice dates, and internal reporting.
