Operations Manager

We are looking for a proactive and detail-oriented Operations Manager to oversee daily operations at our warehouse-based office and take ownership of administrative, project support, and marketing functions. We are a construction company.

Key Responsibilities:Office & Administrative Management

• Manage daily office operations, ensuring cleanliness, organization, and efficiency
• Keep common areas, breakrooms, and supply areas clean and orderly
• Maintain office supplies, equipment, and vendor relationships
• Answer and route incoming calls and messages; welcome visitors

Project & Jobsite Support

• Assist project managers with job folders, material tracking, permits, and logistics
• Coordinate deliveries, pickups, and communication between the warehouse and job sites
• Use Xactimate to help create or review estimates, invoices, and reports

Accounting & HR Assistance

• Process timesheets, receipts, job costing, and vendor invoices
• Assist with payroll preparation, onboarding, and tracking certifications
• Help maintain accurate and compliant records

Marketing & Business Development

• Manage and update social media accounts (Instagram, Facebook, LinkedIn, etc.)
• Coordinate and encourage customer reviews on Google and other platforms
• Help brainstorm and execute marketing ideas to generate new business (flyers, outreach, referrals, etc.)
• Assist with light website updates or work with third-party marketing vendors
• Maintain a consistent and professional brand presence online

Client & Vendor Communication

• Serve as a point of contact for subcontractors, suppliers, and clients
• Maintain project schedules and ensure clear communication across all stakeholders
• Keep digital and physical job files well organized

Qualifications: xhyhwjd

• 3+ years of experience in office management, ideally in construction, trades, or property services
• Proficiency with Xactimate is preferred
• Familiarity with social media platforms and basic digital marketing
• Strong communication, organization, and multitasking skills
• Proficient in Microsoft Office, Basecamp, Google Workspace, and accounting software (e.g., QuickBooks)
• Comfortable in a warehouse setting and able to support both office and field staff
• Self-starter with a proactive mindset and problem-solving attitude

Preferred:

• Experience with Xactimate
• Basic graphic design, Canva, or website editing experience
• Bilingual (English/Spanish) a plus
