Experience/Education Associate's or Bachelor's degree in Accounting, Finance, Business Administration or a related field required; Bachelor's degree preferred. Minimum of 3 years of experience required. Experience processing payroll and administering employee benefit programs required. Knowledge, Skills, and Abilities Excellent attention to detail and accuracy in data entry, payroll processing, and compliance reporting. Strong organizational skills with the ability to manage multiple priorities, deadlines, and competing demands. Ability to maintain confidential and sensitive employee information with the highest level of discretion. Effective verbal and written communication skills with the ability to interact professionally with employees, management, vendors, and government agencies. Demonstrated problem-solving skills and ability to exercise sound judgment when handling employee and payroll matters. Ability to work independently while also collaborating effectively as a member of a team. Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Responsibilities This position works closely with the Chief Financial Officer. The following duties are representative of the role but are not exhaustive. Additional responsibilities may be assigned as needed. Payroll Administration Process biweekly, or semi-monthly payroll for all employees accurately and on schedule. Ensure compliance with federal, state, and local payroll tax regulations. Prepare and reconcile payroll tax filings and year-end reporting, including W-2s and other required filings. Respond to employee payroll questions and resolve discrepancies promptly. Coordinate payroll audits and maintain payroll documentation. Administers 401(k) program: ensuring accurate and timely transmissions to vendor; support annual audit efforts. Administer health, dental, vision and life insurance benefits Administer timekeeping system and ensure accurate reporting of hours worked, PTO, and overtime. Maintain confidentiality of employee compensation and payroll information. General Accounting Prepare and post journal entries. Assist with financial reporting and external audit requests. Daily cash reconciliation and reporting Outreach data accumulation and billing Monthly Practice Management report generation Monthly statistics calculations Benefits Full-time employees are eligible for health, dental, vision, disability, and life insurance. Physical Demands and Work Environment This position is typically sedentary, involving prolonged sitting (over 50%), using hands for typing/data entry or using controls (repetitive motion); simple grasping and fine manipulation, close visual acuity for computer work, reading, and occasional light lifting (under 10-20 lbs.). Essential demands include operating standard office equipment, communicating verbally, hearing and conveying ideas clearly (written and spoken). Occasional standing, walking short distances, reaching, bending, or stooping to access files or supplies. Ability to support muscles for prolonged tasks and maintain focus.
