Patient Intake Supervisor - Weekly Pay

Overview
We are seeking an experienced and customer-focused Customer Service Manager to lead a Patient Intake team within a healthcare environment. This role is responsible for overseeing daily operations, ensuring a high-quality patient experience, and driving team performance to effectively coordinate patient onboarding and care scheduling.
The ideal candidate will bring strong leadership experience in healthcare or service-based environments, and the ability to manage both people and processes in a fast-paced setting.
Key Responsibilities
- Lead, coach, and manage a team of Patient Intake Coordinators responsible for scheduling and onboarding new patients
- Oversee daily workflow including inbound and outbound calls, case management, and patient follow-ups
- Monitor and ensure timely handling of new patient referrals from hospitals and clinics
- Ensure team members effectively manage patient cases through a ticketing system (Salesforce)
- Drive accountability for case ownership, including follow-ups, documentation, and closure of cases
- Support team members in managing call volume (average 20 inbound calls/day; outbound volume varies by workload)
- Ensure high standards of patient communication, professionalism, and service quality
- Collaborate with internal stakeholders to improve patient flow and intake processes
- Track performance metrics and implement improvements to address team underperformance
- Ensure compliance with patient privacy standards and secure work practices
Day-to-Day Activities
- Review new patient referrals and assign or manage case distribution
- Oversee outbound outreach to patients to coordinate care scheduling
- Support inbound call handling for patient inquiries and follow-ups
- Monitor Salesforce case queues and ensure timely updates and resolution
- Coach team members on best practices and performance expectations
- Address escalations and ensure positive patient experiences
Required Qualifications
- 5+ years of leadership experience in customer service (manager or supervisor level)
- Backgrounds may include call center, healthcare, retail, hospitality, or restaurant environments
- Experience working in a healthcare setting (hospital, clinic, medical office, or health insurance)
- Strong verbal and written communication skills
- Excellent interpersonal, organizational, and problem-solving abilities
- Proven ability to manage high-volume workloads and prioritize effectively
- Experience with computer systems such as MS Outlook and data entry platforms
- High school diploma or GED required
Preferred Qualifications
- Prior experience in patient intake or care coordination
- Dialysis or specialty care experience
- Familiarity with EMR/EHR systems (e.g., Cerner, Epic, Allscripts)
- Experience with CRM systems such as Salesforce
Work Environment
- Hybrid or in-office role with remote flexibility based on business needs
- Company-provided equipment (laptop and monitor)
- Must have:
- High-speed internet (minimum 20 Mbps)
- A dedicated, private, and distraction-free workspace
- Strong emphasis on collaboration, communication, and team culture
Schedule
- Full-time, typically Monday–Friday
- Standard hours: 8:00 AM – 5:00 PM or 9:00 AM – 6:00 PM
- Minimal to no overtime expected
Additional Information
- This is a contract-to-hire opportunity based on performance and business needs
- Eligibility for conversion begins after a minimum of 520 hours worked (conversion is not guaranteed)
- This role plays a critical part in shaping the patient’s first experience and ensuring seamless coordination of ongoing care
