Location: Arcadia, CA (Onsite required) Pay Rate: $45/hour
Overview: The Human Resources department is seeking an experienced Executive Assistant to provide comprehensive administrative support to HR leadership. This individual will play a key role in managing calendars, coordinating meetings, preparing reports and presentations, and handling confidential information in a fast-paced healthcare environment. Key Responsibilities
- Provide high-level administrative support to the Vice President of HR and HR leadership team.
- Coordinate and manage executive calendars, including scheduling meetings, appointments, and events.
- Prepare correspondence, presentations, reports, and meeting materials with a high degree of accuracy and professionalism.
- Organize and coordinate domestic travel arrangements and event logistics.
- Maintain confidential records and provide support for HR-related projects and initiatives.
- Screen and direct communications on behalf of executive leadership.
- Uphold a professional business presence and demonstrate excellent judgement when handling sensitive information.
- Anticipate the needs of executives and proactively manage priorities as circumstances change.
Required Qualifications
- High School Diploma or GED required.
- Minimum three (3) years supporting senior or executive-level leadership in an administrative or executive assistant capacity.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Outstanding organizational skills and ability to manage multiple priorities in a dynamic environment.
- High degree of professionalism, discretion, and reliability.
- Demonstrated ability to handle confidential information with integrity.
- Stable work history.
Preferred Qualifications
- Five (5)+ years supporting C-suite or senior executives.
- Previous support experience in Human Resources and/or healthcare.
- Bilingual (English/Spanish) strongly preferred.
- Understanding of HR functions such as compliance and onboarding.
- Experience organizing executive communications, travel, and event logistics.
