The CEO Assistant provides high-level administrative and operational support directly to the CEO within a shared reporting structure. This role manages priorities, coordinates occasional executive travel, prepares and supports executive meetings, maintains confidential records, and ensures decisions and action items are followed through. The position offers a growth path toward expanded executive support or office and operations management.

 

Responsibilities

• Manage the CEO’s calendar, scheduling priorities and appointments.
• Coordinate occasional executive travel arrangements and related logistics.
• Prepare meeting agendas, materials and supporting documents.
• Attend executive meetings, record minutes and track decisions and follow-up actions.
• Manage the CEO’s inbox and handle correspondence with professionalism and discretion.
• Prepare documents, presentations and other executive materials.
• Track expenses and support expense management processes.
• Serve as a liaison between the CEO and internal or external stakeholders.
• Maintain confidential records and monitor outstanding action items.

 

Required Qualifications

• 4+ years of experience in executive assistance.
• Bachelor’s degree in Business Administration, Communications or a related field.
• Experience with calendar management, travel coordination, expense management and document preparation.
• Proficiency with Microsoft Office and Google Workspace.
• Strong written communication and time-management skills.
