Lead Pharmacy Technician

Position Summary We are seeking an experienced, highly organized, and dependable Lead Pharmacy Technician to provide operational leadership and support to our pharmacy team. The Lead Pharmacy Technician serves as a senior member of the pharmacy technician team and is responsible for coordinating daily technician workflow, supporting staff training and development, maintaining operational standards, assisting with inventory management, monitoring prescription processing accuracy, and helping ensure efficient pharmacy operations. This position works under the supervision of a licensed pharmacist and does not replace or assume responsibilities that legally require pharmacist judgment, verification, counseling, or supervision. The ideal candidate is an experienced pharmacy technician with strong leadership skills, exceptional attention to detail, excellent communication abilities, and a commitment to patient safety and outstanding service. Essential Duties and Responsibilities Leadership & Workflow Coordination Serve as the primary day-to-day resource for pharmacy technicians. Coordinate technician workflow and daily assignments based on pharmacy volume and operational priorities. Help ensure adequate technician coverage throughout pharmacy operating hours. Assign and prioritize technician responsibilities in coordination with pharmacy management. Monitor workflow to identify delays, bottlenecks, and operational concerns. Assist technicians with resolving routine operational issues. Promote teamwork, accountability, professionalism, and effective communication. Communicate staffing, workflow, performance, and operational concerns to the Pharmacist-in-Charge or pharmacy management. Assist with opening and closing procedures as assigned. Lead by example and maintain high standards of professionalism, accuracy, productivity, and patient service. Training & Staff Development Assist with onboarding and training newly hired pharmacy technicians. Provide ongoing coaching and operational guidance to pharmacy technicians. Ensure technicians understand established pharmacy policies, procedures, workflows, and documentation requirements. Assist management with monitoring technician competency and training completion. Identify opportunities for additional training or process improvement. Help maintain training records and competency documentation when assigned. Reinforce HIPAA, patient privacy, medication security, safety, and compliance requirements. Promote consistent pharmacy procedures among all technicians. Prescription Processing Receive and process prescriptions and refill requests within the authorized scope of practice. Accurately enter patient, prescription, prescriber, and insurance information into the pharmacy management system. Retrieve, count, measure, package, and label medications. Prepare prescriptions for pharmacist review and final verification. Review technician workflow for completeness and identify potential processing discrepancies. Escalate prescription discrepancies, medication concerns, clinical questions, and potential errors to the pharmacist. Assist with prescription transfers, refill requests, and prescriber communications when permitted. Ensure prescriptions are appropriately prepared for pickup, delivery, mailing, or other authorized distribution. Maintain required prescription records and documentation. Quality & Patient Safety Promote a culture of accuracy and patient safety throughout pharmacy operations. Monitor technician compliance with established prescription-processing procedures. Help identify workflow issues that could contribute to medication errors. Immediately report suspected medication errors or significant discrepancies to the pharmacist. Assist with implementing corrective operational procedures as directed by pharmacy management. Verify that required technician documentation is completed appropriately. Ensure prescriptions are submitted for required pharmacist verification before dispensing. Never independently perform pharmacist-only clinical functions. Refer medication counseling, therapeutic questions, drug interactions, dosing questions, and other clinical matters to a pharmacist. Inventory Management Assist with oversight of pharmacy inventory operations. Coordinate receiving, unpacking, verification, and storage of medication orders. Monitor medication and supply inventory levels. Assist with ordering medications and pharmacy supplies. Maintain appropriate inventory organization. Monitor expiration dates and coordinate removal of expired products. Assist with medication recalls and returns. Identify damaged, expired, recalled, or otherwise unusable medications. Monitor appropriate storage conditions for medications. Assist with refrigerator and temperature-controlled inventory monitoring. Participate in inventory counts and reconciliation. Investigate routine inventory discrepancies and elevate unresolved issues to pharmacy management. Assist with controlled-substance inventory procedures when authorized and permitted by applicable law. Insurance, Billing & Prior Authorization Support Process prescription insurance claims. Assist technicians with resolving routine insurance claim rejections. Verify patient insurance information. Assist with coordination of prior authorization documentation and communications within the technician's authorized scope. Communicate with prescribers, insurance companies, patients, and authorized representatives regarding non-clinical prescription matters. Help identify recurring billing or insurance issues and communicate them to management. Ensure accurate documentation of applicable billing activities. Patient & Customer Service Provide professional and compassionate service to patients and caregivers. Assist with escalated non-clinical customer-service concerns. Communicate prescription status, pickup information, delivery information, copayment information, and other authorized information. Refer clinical medication questions to the pharmacist. Help maintain a professional and patient-centered pharmacy environment. Protect patient privacy during all verbal, written, and electronic communications. Delivery & Prescription Coordination When applicable: Coordinate prescriptions scheduled for pharmacy delivery. Verify that delivery orders are appropriately prepared and documented. Coordinate with pharmacy delivery drivers and other authorized personnel. Maintain appropriate chain-of-custody documentation. Monitor undelivered or returned prescriptions and ensure they are handled according to pharmacy procedures. Communicate delivery problems to appropriate pharmacy personnel. HIPAA & Confidentiality The Lead Pharmacy Technician will have access to confidential patient information and Protected Health Information (PHI). The employee must maintain strict confidentiality and comply with HIPAA, applicable privacy requirements, and company policies at all times. Responsibilities include: Accessing patient information only when required for authorized job duties. Protecting pharmacy system credentials and passwords. Preventing unauthorized access to patient information. Properly securing documents containing PHI. Reporting suspected privacy or security incidents immediately. Ensuring pharmacy technicians follow established privacy and confidentiality procedures. Unauthorized access, photographing, copying, sharing, disclosure, or discussion of patient information is strictly prohibited. Medication Security & Controlled Substances When permitted by applicable law and assigned by pharmacy management, the Lead Pharmacy Technician may assist with controlled-substance operational procedures under appropriate pharmacist supervision. Responsibilities may include: Maintaining required inventory procedures. Assisting with inventory counts and reconciliation. Monitoring medication storage and security procedures. Identifying and reporting inventory discrepancies. Reporting suspected medication diversion, theft, loss, or unauthorized access immediately. Maintaining applicable documentation. The Lead Pharmacy Technician may not perform functions reserved by law for a pharmacist. Minimum Qualifications High school diploma or GED. Active Pharmacy Technician registration, license, certification, or other credential required by applicable state law. Minimum of 2 years of pharmacy technician experience preferred. Previous leadership, senior technician, training, or supervisory experience strongly preferred. Strong knowledge of pharmacy workflow and prescription processing. Experience with prescription insurance claims. Knowledge of pharmacy inventory procedures. Strong computer and pharmacy software skills. Excellent attention to detail. Strong organizational and time-management skills. Excellent written and verbal communication skills. Demonstrated ability to lead and support a team. Ability to prioritize multiple responsibilities in a fast-paced environment. Ability to maintain confidentiality and comply with HIPAA requirements. Dependable attendance and punctuality. Preferred Qualifications PTCB Certified Pharmacy Technician (CPhT) or equivalent national certification. 3+ years of pharmacy technician experience. Previous Lead Pharmacy Technician or Senior Pharmacy Technician experience. Experience training or onboarding pharmacy technicians. Experience with pharmacy inventory management. Experience with pharmacy insurance billing and claim rejection resolution. Experience with Medicare, Medicaid, and commercial prescription plans. Experience with prescription delivery operations. Experience with pharmacy management systems and electronic prescription processing. Bilingual English/Spanish skills are a plus. Schedule & Availability The Lead Pharmacy Technician must have flexibility to support pharmacy operations based on business needs. Schedules may include weekdays, evenings, weekends, and holidays depending on pharmacy operating hours.
