Practice Manager II

About the Role:
As Practice Manager II , you'll be a visionary leader behind one of our portfolio companies in the medaesthetics space, crafting extraordinary experiences and nurturing team excellence. This role goes beyond traditional management – it's an opportunity to shape the future of aesthetic medicine while leading teams that define industry standards.
The Practice Manager II will guide and oversee multiple teams, creating a high-performing environment where staff members are empowered to excel, and patients receive unparalleled service. As a strategic leader, they will be responsible for financial oversight of their Practices, making tactical decisions and actionable plans to drive growth. As well as managing revenue goals and creating clear action plans for their teams to achieve those targets.

Key Responsibilities:
Orchestrating operational excellence:
- Command the daily symphony of operations at multiple practices, ensuring smooth functioning.
- Supervise staff members and delegate tasks as necessary to optimize workflow.
- Design and implement strategies that elevate both patient experience and business performance.
- Step in as required during periods of insufficient coverage to maintain smooth operations at the Practices.
Financial virtuosity:
- Master the financial narrative through strategic P&L oversight.
- Motivate teams to reach revenue targets and personal performance goals by providing clear guidance and a compelling vision.
- Consistently analyze revenue and expense trends, developing strategies based on variances to orchestrate growth.
Crafting exceptional experiences:
- Foster an environment where luxury meets genuine care.
- Proactively review, analyze, and address gaps in service quality, policies, and procedures; identify issues and implement solutions effectively.
- Transform patient feedback into refined service experiences with professionalism and grace.
Policy and procedure development:
- Ensure the Practice is in compliance with established policies, procedures, and SOPs, and remains informed of any changes.
Inventory management:
- Manage inventory and supplies across all assigned Practices, collaborating with designated team members to ensure that all products are stocked and available for use at their respective sites.
- Collaborate with designated team members onsite to perform end-of-month and daily inventory audits to catch and correct any variances in inventory.
Smart scheduling:
- Oversee appointment scheduling at all Practices to ensure that all patients are seen in a timely manner.
- Optimize appointment scheduling to maximize patient satisfaction and staff efficiency.
Record keeping:
- Manage and maintain patient records, ensuring that all information is accurate and up-to-date.
- Safeguard client confidentiality and privacy in accordance with HIPAA regulations.
Innovation & growth:
- Proactively manage key performance indicators (KPIs) in field marketing, PR, Google reviews, and customer engagement, creating pragmatic solutions to achieve target goals.
- Be responsible for the Practice’s marketing, covering social media, local outreach, and recall programs.
- Collaborate with the Marketing Team on campaigns that capture the essence of our premium services.
- Develop and implement marketing strategies to promote the spa and attract new patients.
Nurturing team brilliance:
- Create an environment where teams flourish and embody our commitment to excellence.
- Facilitate accountability and performance discussions that ignite passion and drive. This includes performance reviews, coaching and development, behavioral accountability, and recognition for exceptional performance.
- Take ownership of the recruitment and onboarding process for open positions in collaboration with HR.
- Create an environment where careers thrive. Manage and train staff members, ensuring that they are knowledgeable and skilled in their roles.
- Address employee concerns with professionalism, self-regulation, and empathy.
Regulatory compliance:
- Ensure assigned Practices are compliant with all state and federal regulations related to healthcare, safety, and sanitation.
- Stay up to date on regulatory changes and implement necessary adjustments to ensure compliance.
- Adhere to the clinical compliance processes and procedures established by the Clinical team.
- All other duties as assigned.
Education and Experience:
- Bachelor’s degree or five years of relevant management experience is preferred.
- Proven leadership acumen, with multi-site management experience preferred.
- Sophisticated understanding of P&L management and business growth principles.
- Strong computer skills, including proficiency in Microsoft Office and industry-specific software.
- Exceptional communication skills that resonate with both team members and distinguished clientele.
- Open availability: Able to work Sunday through Saturday during operating hours, with a minimum of one Saturday and one Sunday per month.
- Background in medical aesthetics, luxury retail, or high-end customer service is highly valued.
