ASC Graduate Assistant - NFWS (2026/2027)

Job Description Summary The ASC Graduate Assistant serves as the customer service representative for the Academic Success Center, handling inquiries and communications from students, faculty/staff, and student employees. The Graduate Assistant assists with ASC scheduling, recruitment processes, employee onboarding, and auditing and outreach for distinct student populations served by ASC supports. In addition, the Graduate Assistant coordinates class visits, designs and facilitates workshops and/or trainings, and supports special projects assigned by ASC Professional Staff, maintaining appropriate data reporting for all efforts. Specific Duties Serve as the customer service representative for the ASC, handling student, faculty, and staff requests and communications (via phone and email) as well as serving as a liaison between student employees and professional staff, troubleshooting and yielding questions and/or concerns, providing support as necessary to ensure efficient operations. Assist with ASC scheduling, including creating employee accounts in the system, inputting and changing staff availability, managing appointments, and making updates to the drop‑in schedule on the ASC Portal. Communicate details and verify, as necessary, with appropriate stakeholders. Assist with recruitment processes such as soliciting employee referrals, performing student outreach, logging applications, scheduling and coordinating student employee interviews and skills tests for ASC professional staff, updating ASC applicant tracking spreadsheet, and soliciting and logging faculty recommendations. Lead the initial ASC student employee onboarding session, ensuring new employees understand the ASC’s philosophies and aims as it relates to student success, as well as discussing policies and procedures and the ASC Portal. Assist employees with accessing their staff Zoom account and with creating their signatures in Outlook, as well as any relevant templates for session summaries. Schedule additional onboarding training – relative to ASC practice – with appropriate ASC Supervisor. Assist with logging and auditing academic coaching requests and/or early alerts, performing outreach where relevant according to ASC processes. Schedule and coordinate ASC class visits, making necessary appointments on ASC student employees’ schedules and communicating class visit details to appropriate stakeholders. Collaborate with ASC professional staff on ASC initiatives, including outreach, initiatives designed to promote the ASC to the campus community (e.g. SOAR, Orientation, etc.), training and workshop development and facilitation, etc. Develop supplemental materials as assigned by ASC Professional Staff (spreadsheets, resources, etc.), and assist ASC professional staff with any special requests, projects, etc. Gather and report accurate data for all work completed, including projects, workshops/trainings, etc. Other duties as assigned. Minimum Qualifications Familiarity with Microsoft Suite, especially SharePoint and One Drive. Proficient with email and phone etiquette. Approachability and desire to serve others. Effective written and verbal communication. Organized and detail‑oriented as well as self‑motivated and employs initiative. Must be a ULV student in a graduate program. Preferred Qualifications Familiarity with Excel. Interest and desire to serve in support services. Practiced in developing and facilitating training and/or presentations. Benefits Summary Employees are eligible for the following benefits: One hour of Paid Sick Leave for every 30 hours worked, with a maximum accrual of 24 hours of Paid Sick Leave per year and capped at 48 hours. University of La Verne Defined Contribution Retirement Plan – employees may contribute voluntary contributions, excluding wages derived from federal work‑study funds. In accordance with the Affordable Care Act (ACA), employees who work an average of 30 or more hours per week will be eligible for medical coverage through the University of La Verne. Covered under the University of La Verne Workers Compensation Insurance. Physical Demands Summary The physical demands include the ability to sit, stand, walk, bend, and lift up to 20 pounds occasionally.
