Job Description – Position: Station Manager The basic function of the Station Manager is to ensure that the company’s policies and directives are carried out at the store/station level and that the objectives established for the store/station are realized. Reporting Relationships The manager is appointed by the supervisor of store operations with the approval of the manager of store operations and reports directly to the supervisor of store operations. Reporting to the manager are attendants, cashiers, image coordinators, and any other store/station personnel. Authority The manager receives authority from the supervisor of store operations and is delegated the full authority necessary to supervise the activities of the store/station within established company policies. The manager has authority over all store personnel and the authority to delegate duties as necessary to ensure prompt, efficient operations of the store. Specific Duties Establish and maintain close communication and coordination with all store/station personnel to assure attainment of operational goals, objectives, and satisfactory customer service. Hire, train, supervise, motivate, evaluate, and terminate personnel of the store as appropriate, ensuring proper documentation and approval. Maintain displays in an attractive manner utilizing proper floor layout. Provide and maintain effective housekeeping practices. Establish and maintain effective working and safety rules. Ensure the security of the store/station and its contents at all times. Increase sales through genuine and concerned service to customers using good sales techniques, in close cooperation with the supervisor of store operations. Ensure efficient management of the store/station to streamline paper flow and office work. Maintain open and effective communication with the office. Provide for adequate store/station supplies while staying within the budget guidelines (no unauthorized purchases). Develop and maintain effective control of all cash sales, ensuring only authorized persons have access and cash is properly accounted for. Coordinate with the supervisor on promotions to attract new customers and increase sales. Provide the supervisor with any ongoing sales, marketing, or advertising activities that may be required. Maintain price lists of items and services, including gas surveys and price changes as soon as the new price is reported. Prepare daily bank deposits accurately and on a timely basis; call deposit information to the main office by 10:30 am and ensure deposits are made to the bank no later than 10:00 am. Take daily stick tank readings and ensure they are called in to the appropriate person each day. Ensure that all reports are accurate and up to date and that the appropriate reports (including station reports) are forwarded to the main office daily. Prepare the work schedule and ensure all employee time sheets, time cards, and other personnel sheets are correct, up to date, and forwarded to the main office in a timely manner. Ensure inventory is controlled and all orders are placed on a timely basis according to established procedures; ensure deliveries are received and documented per company policy. Ensure all equipment is properly maintained and in good working order. When necessary, call repairs into the office and fully document them when completed. Ensure all store/station employees strictly adhere to the company’s check cash policy. Complete all other tasks, assignments, and requests as may be required by the supervisor. Responsibilities The station manager is directly responsible and accountable to the supervisor of store operations. Establish and adhere to the store budget in coordination with the supervisor of store operations (no unauthorized purchases). Ensure the smooth and efficient operation of the store/station, providing effective leadership for all personnel assigned to this position. Supervise the administrative function of the store/station area, ensuring the accuracy and timely preparation of all reports (reports must be sent to the office no later than 12:00 pm). Responsible for inventory control, maintaining adequate inventory levels; report any discrepancies immediately. Responsible for controlling cash, ensuring all cash (including checks and charges) is kept secure, properly handled, and accounted for; ensure bank deposits are correct and timely (no later than 10:00 am). Responsible for scheduling and ensuring all hours are covered to provide efficient service to customers. Measures of Performance Efficient operation of the store/station and maximum customer service. Consistent display of company standards for image and appearance. Cash sales control and adherence to company policy. Strict adherence to the company’s check cashing policy. Accuracy and timeliness of reports and documentation. Effective inventory control. Minimization of shoplifting incidents. Control of overtime and labor costs. Supervisor satisfaction.
