The Program Coordinator is the primary point of contact and person responsible for performing the administrative tasks necessary to support the participation of faculty, administrators, and students involved in the program. Support shared inbox management and conduct personalized follow‑up communication. Aid in maintaining outreach materials, program application, and website content. Communicate with current students for ongoing support and retention. 15% – Application & Admissions Operations Assist with centralized application system workflows (e.g., WebAdMIT/CAS), including creation of statuses, exports, and system settings. Prepare offer communications and support applicants through enrollment steps. Contribute to the development and setup of application cycles. 15% – Program & Course Administration Program courses and programs in SIS platforms such as Higher Reach and Campus Marketplace. Coordinate cohort logistics, including scheduling, registration tracking, and student access. Troubleshoot and test SIS or scheduling issues; ensure accurate course and program programming. Assist with HiR and web proofing. Provide on‑site presence during workshops (including some weekends); ensure classrooms are open, set up, and facilities secured after hours. Manage room reservations, confirm space availability, and handle key management/instructor access. 15% – Curriculum Support Update and assist with course numbers and codes for new courses. Handle scheduling and programming of new courses. Review and maintain updated syllabi and course descriptions. 5% – Resource Development & Program Evaluation Support development of student‑facing resources (e.g., program handbooks, guides) and assist in shaping internal documentation for workflows and applications. Collect data and feedback to evaluate program effectiveness. Identify areas for improvement by conducting surveys, analyzing student performance data, and collaborating with faculty on assessment strategies. 5% – Instructor & Course Support Assist instructors with course logistics, program information, and classroom needs. Liaise with instructors and support specialists to ensure they are prepared to teach and have necessary resources. Required Qualifications Bachelor's degree in a related area and/or equivalent experience/training. Proficient with enterprise systems and associated data (input, retrieval, analytics) and ability to provide recommendations and decision support. Analytical, critical thinking, and problem‑solving skills for policy and procedural analysis. Advanced computer skills: Microsoft Suite, Google Suite, Adobe Acrobat DC, Zoom, and database systems. Excellent organizational and time‑management skills to coordinate activities, set priorities, and maintain service levels. Planning skills with project‑management concepts for cross‑functional projects. Strong writing skills for concise, logical, grammatically correct correspondence; proofreading and editing proficiency. Highly effective communication and interpersonal skills. Ability to work with diverse backgrounds using insight, tact, and diplomacy to facilitate reasonable outcomes. Diplomacy and empathy in customer service to cultivate a positive environment. Ability to cope with ambiguity, interruptions, changing priorities, and competing deadlines. Speed and accuracy in retrieving and communicating detailed information. Preferred Qualifications Education focus in higher education, psychology, public health, STEM, or related field. Familiarity with FERPA and privacy regulations; maintain confidentiality of sensitive records. Knowledge of continuing education culture, current public education programs, and adult student experience. Advanced knowledge of accredited or certificate program instruction and delivery methodologies. Experience with pre‑health subject matter areas. Experience in marketing certificate programs and courses in adult continuing education. Experience recruiting and coordinating instructors in an academic environment. Understanding of functional areas and their impact on public educational programs.
