Operations Coordinator

Job Details: Job Location: CLEARVIEW WAS - Fenton, MO, Salary Range: $50000.00 - $60000.00, Valcourt Building Services LLC is seeking an Operations Coordinator to support branch operations within a defined local market. This role is responsible for coordinating schedules, allocating field resources, tracking projects, maintaining records and ensuring smooth day-to-day execution across service projects and service work. The Operations Coordinator will work closely with the Operations Manager, Field Managers and Field Teams to schedule labor, track job assignments, and maintain accurate operational records. This individual will help ensure projects are staffed appropriately, service requests are fulfilled on time, and internal reporting requirements are met. This role requires a highly organized, detail-oriented coordinator who can manage multiple schedules and priorities simultaneously, communicate clearly across departments, and support the operations team in delivering safe, efficient, and profitable work. The Operations Coordinator will play a key role in keeping the branch running smoothly by proactively identifying scheduling conflicts, supporting field crews, and ensuring operational processes are followed consistently. Responsibilities Create, manage, and update daily and weekly schedules for field technicians, crews, and equipment across active projects and service work. Coordinate scheduling and assignment of contracted commercial service projects in partnership with Field Managers and the Director of Operations. Serve as the primary point of contact for scheduling changes, conflicts, and last-minute service requests. Move and adjust staffing during projects or service work to optimize execution, productivity, and customer satisfaction. Maintain accurate records in scheduling software, job cost systems, and internal reporting tools. Monitor daily operations and proactively flag scheduling conflicts, staffing gaps, or resource shortages. Communicate schedule updates clearly and promptly to Field Teams, Field Managers, and Branch Leadership. Support job activations, change orders, and service workflow documentation to ensure operational processes are followed. Assist with tracking labor hours, job progress, and service completion against project timelines and budgets. Coordinate with suppliers, subcontractors, and internal departments to confirm materials, equipment, and access needed for scheduled work. Support onboarding logistics for new field employees, contractors, or subcontractors as needed. Ensure all scheduled work complies with company safety policies and OSHA guidelines. Prepare routine scheduling and operational reports for the Director of Operations. Identify opportunities to improve scheduling processes, tools, and operational workflows. Build strong working relationships with customers, field employees, suppliers, and subcontractors. Perform general administrative support duties, including data entry, filing, and correspondence, as needed. Report directly to the Director of Operations. Qualifications Required Skills/Abilities Experience coordinating schedules or operations within commercial services, facilities services, construction services, building services, or a related industry. Proven ability to schedule and coordinate field technicians, labor teams, suppliers, and subcontractors. Strong organizational skills with the ability to manage multiple schedules and competing priorities simultaneously. Familiarity and demonstrated use of scheduling software, service management software, and job cost systems. Comfortable working with spreadsheets and basic reporting tools to track labor, job progress, and schedules. Effective oral and written communication skills, with the ability to communicate clearly with field teams, customers, and leadership. Ability to build strong relationships at all levels of the organization while treating all employees, clients, and partners with dignity and respect. High attention to detail and strong problem-solving skills, particularly when handling last-minute changes. Demonstrated ability to work independently, prioritize effectively, and remain calm under pressure. Strong computer skills, including MS Outlook, Word, Excel, and scheduling or operational reporting tools. Strong commitment to safety, productivity, service quality, and client satisfaction.
