Facilities Maintenance Supervisor

Job Summary:

The Facilities Maintenance Supervisor oversees daily facility operations, maintenance execution, and vendor coordination to ensure building systems and material handling equipment operate safely, reliably, and in full compliance with all regulatory requirements. This role is responsible for executing preventive maintenance programs across HVAC, electrical, plumbing, fire/life safety systems, and warehouse equipment (conveyors, sortation, forklifts, and dock systems). The position ensures adherence to OSHA standards, environmental and safety regulations, and company policies, while driving continuous improvement initiatives to enhance equipment uptime, minimize risk, and maintain a safe and efficient facility.

Essential Duties and Responsibilities

• Facilities & Building Maintenance
  • Oversee day-to-day building operations, including HVAC, electrical, plumbing, lighting, and structural systems
  • Coordinate and manage all repair and maintenance activities to ensure minimal operational disruption
  • Conduct routine facility inspections to identify issues and ensure proper upkeep of the building and equipment
  • Maintain accurate maintenance records, work orders, and service logs

• Vendor & Contractor Management
  • Develop and maintain strong relationships with external vendors, contractors, and service providers
  • Negotiate contracts, review service level agreements (SLAs), and ensure vendor performance meets company standards
  • Coordinate vendor activities on-site, ensuring work is completed safely, on time, and within budget
  • Evaluate vendor performance and implement improvements or changes as needed

• Planned & Preventive Maintenance (3PL Operations Focus)
  • Develop, implement, and manage a comprehensive preventive and predictive maintenance (PM/PdM) program to maximize uptime of critical material handling systems (conveyors, sortation systems, dock equipment, and MHE)
  • Schedule, track, and optimize maintenance activities to ensure minimal disruption to warehouse throughput, order fulfillment, and shipping SLAs
  • Monitor and report on key performance metrics including equipment uptime, downtime, mean time between failures (MTBF), and mean time to repair (MTTR), driving accountability for performance targets
  • Analyze equipment failures and maintenance trends across automation systems and fleet assets to proactively address root causes and prevent recurring downtime events
  • Partner closely with Operations and IT/WMS teams to align maintenance windows with labor planning, wave schedules, and system availability requirements
  • Ensure rapid response and recovery protocols are in place for critical equipment failures, minimizing operational impact and service interruptions
  • Continuously improve maintenance strategies by incorporating condition-based monitoring, vendor best practices, and reliability-centered maintenance approaches to sustain high availability in a fast-paced distribution environment
  • Manage spare parts inventory and vendor relationships to reduce repair lead times and support uptime objectives

• Compliance & Safety
  • Ensure full compliance with OSHA regulations, local codes, and company safety policies
  • Partner with HR and safety teams to implement and maintain safety programs and training
  • Conduct safety inspections, audits, and risk assessments
  • Investigate incidents and implement corrective actions to prevent recurrence
  • Maintain documentation required for regulatory inspections and audits
  • Partner with Operations management for customer audits such as Kohls

• Process Improvement & Operational Efficiency
  • Identify opportunities to improve facility efficiency and reduce operating costs
  • Monitor energy-saving and sustainability initiatives where applicable
  • Optimize maintenance workflows and resource allocation
  • Support facility upgrades, renovations, and capital improvement projects

• Inventory & Asset Management
  • Manage maintenance inventory including spare parts, tools, and supplies
  • Track and maintain asset records for all facility equipment
  • Ensure proper storage and availability of critical maintenance materials

• Team Leadership
  • Supervise maintenance technicians and support staff
  • Provide training, coaching, and performance feedback
  • Foster a culture of safety, accountability, and continuous improvement
  • Coordinate shift coverage and respond to after-hours maintenance needs

• Vendor Managed Inventory (VMI) Responsibilities
  • Manage and optimize Vendor Managed Inventory (VMI) programs with key suppliers to ensure consistent product availability while minimizing excess stock and carrying costs.
  • Collaborate with suppliers to align on demand forecasts, replenishment strategies, and inventory targets based on consumption patterns and business needs.
  • Monitor supplier performance against service level agreements (SLAs), including fill rates, lead times, and inventory accuracy.
  • Analyze inventory trends, consumption data, and replenishment cycles to identify opportunities for efficiency improvements and cost savings.
  • Serve as the primary liaison between internal stakeholders and vendors to resolve inventory discrepancies, stockouts, and overstock situations.
  • Implement and maintain systems, tools, or dashboards that provide visibility into VMI performance and inventory health.
  • Ensure compliance with company policies and contractual agreements related to vendor-managed programs.
  • Drive continuous improvement initiatives to enhance VMI effectiveness, streamline processes, and strengthen supplier partnerships.

• Performance Monitoring & Budget Management
  • Track KPIs such as equipment uptime, maintenance costs, and response times
  • Manage maintenance budgets, control expenses, and identify cost-saving opportunities
  • Prepare reports on facility performance and improvement initiatives

• Performance Standards & Accountability
  • Consistently meet or exceed performance expectations, including facility and equipment uptime, maintenance KPIs (MTBF, MTTR), and overall building systems reliability
  • Effectively manage facility operations and maintenance programs in a fast-paced distribution environment, ensuring infrastructure and equipment fully support operational demands
  • Maintain high accountability for the performance, reliability, and availability of all building systems, material handling equipment, and critical infrastructure
  • Ensure all work is executed safely, efficiently, and in compliance with company standards, OSHA regulations, and applicable building codes
  • Demonstrate strong ownership and responsiveness in addressing facility issues, driving timely resolution to minimize operational disruption and downtime
  • Adapt to changing business needs, volume fluctuations, and facility demands while maintaining high standards for safety, reliability, and system performance

Job Requirements

• Knowledge, Skills, and Abilities
  • Strong working knowledge of building systems, including HVAC, electrical, plumbing, and mechanical systems within a distribution or warehouse environment
  • Hands-on experience supporting and troubleshooting material handling equipment (conveyors, sortation systems, forklifts, dock and yard equipment) with a focus on maximizing uptime and reliability
  • Experience administering preventive maintenance programs and utilizing CMMS systems for work order management, asset tracking, and reporting
  • Ability to analyze equipment performance metrics (e.g., downtime, MTBF, MTTR) and take action to improve system reliability
  • Experience coordinating and overseeing vendors, contractors, and service agreements to ensure quality, timeliness, and cost control
  • Working knowledge of OSHA regulations, safety practices, and facility compliance standards
  • Strong organizational, troubleshooting, and problem-solving skills with the ability to prioritize in a fast-paced, high-volume 3PL environment
  • Ability to lead and direct frontline maintenance teams, ensuring accountability, productivity, and timely task completion
  • Effective communication and documentation skills for coordinating with operations, leadership, and external partners
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Familiarity with Warehouse Management Systems (WMS) and their interaction with facility and equipment operations

• Experience Requirements
  • Minimum 5+ years of facilities maintenance, warehouse, manufacturing, or distribution center experience
  • At least 3 years of supervisory or team lead experience in a 3PL, logistics, or industrial environment
  • Demonstrated experience supporting high-volume operations with an emphasis on equipment uptime, preventive maintenance, and rapid issue resolution
  • Experience managing multiple priorities, including reactive maintenance, PM completion, and operational support
• Education & Certifications
  • Technical certification or Associate/Bachelor's degree in Facilities Management, Engineering, Supply Chain, or related field preferred
  • Equivalent combination of education and relevant work experience will be considered
  • Bilingual Spanish preferred

• Additional Requirements
  • Flexibility to support varying schedules, including nights, weekends, holidays, and peak operational periods as required
  • Travel to offsite locations on an as needed basis. Must maintain a current driver's license, proof of insurance, clean motor vehicle report and reliable transportation throughout employment.
