Senior Program Coordinator, Clinical Education - Curricular Affairs (COM-T)

Position Highlights - Working under the general supervision of the Assistant Dean for Clinical Competence, the Program Coordinator coordinates the day-to-day operations of the College's rural medical education initiatives, including the Rural Health Professions Program (RHPP), the Longitudinal Integrated Clerkship (LIC), and activities supported through the Arizona Area Health Education Centers (AHEC) program. The position collaborates with program directors, faculty, students, clinical affiliates, community physicians, Arizona AHEC Regional Centers, and university administrative offices to support program implementation, student experiences, grant operations, and community-based clinical education.

Duties & Responsibilities - Program Operations and Administrative Coordination:Coordinate day-to-day operations for assigned rural medical education programs.Coordinate calendars, meetings, communications, timelines, and operational logistics.Maintain program records, databases, affiliation agreements, and required documentation.Coordinate student housing, travel, transportation, reimbursements, and related logistical support.Prepare routine correspondence, reports, and supporting documentation.Exercise discretion in organizing work, prioritizing assignments, and resolving routine operational issues.Student and Clinical Education Coordination:Coordinate student recruitment activities, onboarding, orientation, placements, scheduling, and communications.Coordinate onboarding and support of community physician preceptors.Support implementation of new and existing rural clinical education sites.Coordinate educational activities with faculty, students, clinical affiliates, and community partners.Grant Operations, Data Management, and Program Reporting:Maintain databases and tracking systems supporting HRSA and Arizona AHEC grant requirements.Enter, verify, and maintain participant, preceptor, clinical site, and program activity data.Track student participation, rural clinical experiences, physician preceptors, and workforce outcomes using established reporting systems.Compile routine reports and supporting documentation for grant reporting, program evaluation, and leadership review.Assist the RHPP Director with grant reports by maintaining accurate records and providing requested operational data and documentation.Support program evaluation through accurate data collection and record maintenance.Community Partnerships and Administrative Support:Coordinate communications with Arizona AHEC Regional Centers, clinical affiliates, community physicians, and community partners.Support faculty appointment processes for community preceptors.Coordinate outreach activities, site visits, educational events, meetings, and committee support.Perform other duties as assigned.

Knowledge, Skills & Abilities:Knowledge of principles and practices related to coordinating educational or healthcare programs.Knowledge of operational practices and organizational environments within higher education, healthcare, or nonprofit settings.Ability to effectively communicate and collaborate with students, faculty, physicians, and community organizations.Skill in coordinating meetings, travel arrangements, events, and educational activities.Skill in using Salesforce or comparable information management systems to maintain and manage program-related data.Knowledge of requirements, processes, and administrative practices associated with HRSA, AHEC, or other federally funded grant activities.Ability to travel throughout Arizona, including occasional overnight travel, to fulfill position responsibilities.Ability to work occasional evenings and weekends to support program activities and operational needs.

Minimum Qualifications - Bachelor's degree or equivalent advanced learning attained through experience required.One year of relevant work experience required.

Preferred Qualifications - One to three years of administrative or program coordination experience.Experience coordinating multiple projects.Strong organizational and communication skills.Proficiency with Microsoft Office and database management.
