Mailroom / Shipping & Receiving Associate

Schedule: Monday – Friday, 8:00 AM – 5:00 PM

Position Summary

We are seeking a reliable and detail-oriented Mailroom / Shipping & Receiving Associate to support daily mail, package distribution, shipping, and document processing operations. This role requires strong organizational skills, attention to detail, and the ability to provide excellent customer service in a fast-paced environment.

Key Responsibilities

• Receive, sort, process, and distribute incoming mail, packages, and office supplies.
• Notify recipients of deliveries and complete scheduled mail pickups and deliveries.
• Maintain accurate records and tracking logs for accountable mail and packages.
• Investigate and resolve shipping and delivery issues with carriers and courier services.
• Prepare outgoing mail and packages for shipment and coordinate pickups and deliveries.
• Perform quality checks on outbound mail and verify internal addressing information.
• Process shipping requests through electronic shipping and tracking systems.
• Complete document finishing tasks such as folding, inserting, and packaging materials.
• Scan, prepare, and electronically distribute incoming correspondence.
• Support fulfillment activities including assembling, packaging, shipping, and tracking materials.
• Follow established mailroom and workplace security procedures.
• Track incoming packages using barcode or package management systems.
• Process, distribute, and maintain records for faxed and electronic communications.
• Manage shipping and receiving activities through automated tracking systems.
• Monitor inventory levels and replenish mailroom and shipping supplies as needed.
• Coordinate alternative shipping or courier services to meet business requirements.
• Operate, clean, and maintain mail and shipping equipment.
• Contact equipment support services when maintenance or repairs are required.
• Package materials according to established shipping and handling guidelines.
• Perform driving or delivery duties when required.

Required Skills & Qualifications

• Ability to lift and move up to 50 pounds.
• Strong written and verbal communication skills in English.
• Basic computer and internet proficiency, including:
  • Opening and managing applications
  • Creating, locating, renaming, and organizing files and folders
  • Sending, receiving, and organizing emails
  • Navigating websites and conducting internet searches
  • Basic word processing and spreadsheet experience
  • Data entry and record maintenance
• Strong customer service skills.
• Ability to prioritize and manage multiple tasks simultaneously.
• Ability to work independently with minimal supervision.
• Strong attention to detail and organizational skills.

Experience

• Previous experience supporting mailroom, shipping, receiving, administrative, distribution, logistics, or customer service operations preferred.
• Experience working in a professional business environment is a plus.

Education

• High School Diploma, GED, or equivalent required.

This is a Contract position based out of Danville, KY.

The pay range for this position is $20.00 - $20.00/hr.

This is a fully onsite position in Danville,KY.
