The Sales Support Associate / Executive Assistant provides comprehensive administrative and marketing support to a busy sales team focused on large, high-profile commercial real estate properties. This role helps drive new business by coordinating sales activities, preparing client-facing materials, and ensuring smooth day-to-day operations. You will work on site in Saddle Brook, NJ, supporting calendar management, travel coordination, marketing campaigns, and client communications in a fast-paced, deadline-driven environment.

Responsibilities

• Manage complex calendars for sales professionals, including scheduling meetings, resolving conflicts, and coordinating logistics.
• Arrange travel and event coordination, ensuring all itineraries, reservations, and meeting details are accurate and complete.
• Handle incoming calls and communications, responding promptly and professionally to internal stakeholders and external clients.
• Process commissions and expenses in accordance with company policies, maintaining accurate records and documentation.
• Maintain databases, reports, and content libraries to ensure information is current, organized, and easily accessible to the team.
• Assist with website updates and track activities in internal systems to support sales and marketing initiatives.
• Serve as a liaison for clients on routine inquiries, providing timely responses and helping resolve issues efficiently.
• Produce branded marketing materials such as presentations, proposals, flyers, offering memorandums, maps, and floor plans that align with brand standards.
• Develop email and direct marketing campaigns to promote property listings and support sales outreach.
• Conduct market research and analysis to support sales strategies and create clear, concise client deliverables.
• Coordinate with internal teams such as marketing, research, and finance to integrate data and insights into sales materials and reports.
• Maintain marketing databases, listing websites, and prospect tracking tools to support business development efforts.
• Support selling, leasing, and marketing activities for large, high-profile commercial real estate properties.
• Manage projects from start to finish, ensuring deadlines are met and deliverables meet quality and branding standards.

Essential Skills

• High School Diploma or GED.
• 24 years of experience in sales support, customer service, retail, account management, or a related job function.
• Experience following established work routines and standards in day-to-day tasks.
• Strong communication skills to exchange straightforward information clearly and professionally.
• Proficiency with Microsoft Office products, including Word, Excel, PowerPoint, and Outlook at an intermediate to advanced level.
• Basic math skills with the ability to calculate simple figures such as percentages, discounts, and markups.
• Demonstrated ability to work independently while exercising sound judgment and problem-solving abilities.
• Strong organizational skills with proven attention to detail and accuracy, particularly in branding and quality of deliverables.
• Ability to manage multiple priorities and deadlines in a fast-paced, deadline-driven environment.

Work Environment

This is an on-site role based in Saddle Brook, NJ, working standard business hours from 9:00 a.m. to 5:00 p.m. with a one-hour lunch break. You will operate in a professional office environment that supports a commercial real estate sales team, using tools such as Microsoft Office and internal systems, with potential use of Adobe Creative Suite for marketing materials. The setting is fast-paced and deadline-driven, requiring strong organization and focus throughout the day. Professional attire is expected to align with a client-facing office environment. The initial assignment duration is three months, with the possibility of extension based on business needs.

This is a Contract position based out of Saddle Brook, NJ.

Pay and Benefits

The pay range for this position is $21.00 - $22.00/hr.
