Operations Specialist

Oversee and coordinate operational, supply chain, and quality system activities. Maintain end-to-end product traceability through accurate inventory, asset, and distribution records in the ERP system. Plan, coordinate, and oversee product movements to ensure timely delivery. Manage inventory control, including stock monitoring, forecasting, replenishment, and reconciliation. Support inventory and operational audits and resolve discrepancies. Assess and improve operational workflows and processes. Collaborate with Operations, Sales, Quality, Engineering, internal teams, external partners, and suppliers. Manage installation, maintenance, and RMA documentation according to QMS requirements. Support US QMS activities involving document control, product traceability, records management, and quality-system compliance. Identify, document, and **escalate** product complaints and quality issues. Support complaint investigations, technical escalations, and corrective actions. Maintain accurate, organized, audit-ready operational and quality records. Provide occasional installation, configuration, deployment, and device-servicing support. Coordinate deployment and ongoing management of Volta systems. Provide logistical support for corporate events, conferences, and other business activities. Report to the US Business Operations Director and Chief Clinical & Regulatory Affairs Officer. Requirements Bachelor’s degree. Minimum of 4 years of experience as an Operations Coordinator or in a similar operational role. Experience working in a startup or fast-growing environment. Previous experience in the medical device industry is preferred, or experience in another regulated industry. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Copilot. Experience with inventory management software, ERP and/or CRM systems. Excellent written and verbal communication skills. Strong interpersonal skills and high attention to detail. Excellent analytical, problem-solving, and organizational skills. Demonstrated ability to prioritize tasks and manage multiple assignments simultaneously. Self-motivated, adaptable, and able to work independently with minimal supervision. Ability to communicate professionally with external partners, suppliers, executives, and colleagues. Ability to exercise discretion when handling sensitive and privileged information.
