Location: Seattle, Washington (Onsite)

Role Overview

We are seeking a highly motivated and customer-obsessed Executive Assistant to support a Director. This is a highly visible position requiring exceptional organizational skills, sound judgment, and the ability to manage competing priorities in a fast-paced environment. The successful candidate will serve as a trusted partner, helping to drive operational excellence and enabling leadership to remain focused on strategic priorities in a fast-paced technology environment.

Key Responsibilities
  • Perform a variety of administrative functions, including complex calendar management and scheduling appointments.
  • Manage multiple tasks and action items, including documentation, follow-up, and meeting preparation for the Director and leadership team.
  • Provide administrative and logistical support for events, including happy hours.
  • Manage event coordination and program management needs for a public-speaking executive, including events for recruiting purposes.
  • Compose memos, transcribe notes, and research and create presentations.
  • Generate reports, handle multiple projects, and prepare and monitor invoices and expense reports.
  • Manage domestic and international travel arrangements.
  • May assist with compiling and developing the annual budget.
Required Qualifications

Education: A high school diploma is required. At least two years of college is required.

Experience: A minimum of 5-7 years of experience supporting senior management (VPs, Senior VPs, or CEOs) is required.

Skills:
  • Impeccable attention to detail and the ability to complete a high volume of tasks and projects with little to no guidance.
  • Strong working knowledge of Microsoft Office and Outlook tools, including Excel.
  • High levels of integrity and discretion in handling confidential information and a high degree of professionalism in dealing with senior professionals.
  • Exceptional verbal and written communication skills and the ability to switch gears at a moment's notice.
Preferred Qualifications
  • A bachelor's degree is preferred.
  • Experience in program management and event coordination.
  • Experience within a technology-focused or fast-paced environment.
