Talent Acquisition & HR Coordinator

The Talent Acquisition & HR Coordinator plays a key role in attracting top talent and creating an exceptional new hire experience. This position manages the full recruitment lifecycle, partners with hiring managers across the organization, and coordinates onboarding activities that help new employees feel welcomed, prepared, and engaged from day one. The role also provides cross-functional support by serving as a trained backup for payroll and benefits administration, and offers the opportunity to build expertise across talent acquisition and human resources while contributing to the continued growth of the organization.Duties/Responsibilities:Recruitment (estimated 70-80%)Serve as a positive ambassador for Maine Oxy by delivering a welcoming, professional, and engaging experience for candidates and new employeesOwn the full-cycle recruiting process for assigned positions, including sourcing, screening, interview coordination, candidate communication, and pre-employment activitiesPartner with hiring managers to understand staffing needs, develop recruiting strategies, and provide regular updates throughout the hiring processProactively source candidates through job boards, networking, referrals, and community partnershipsCreate and maintain job postings across multiple recruiting platformsScreen applicants, conduct initial phone interviews, and coordinate interviewsSchedule and track background checks, drug screens, and other pre-employment requirementsMaintain candidate communications throughout the hiring processOnboarding (estimated 15-20%)Coordinate onboarding activities, first-day logistics, and training schedules to ensure a seamless transition into employmentConduct new hire orientation and ensure employees are prepared with the tools, resources, and information needed for a successful startPartner with hiring managers to monitor new hire progress during the onboarding period and address any early concernsEnsure all employment documentation is completed accurately and on timeSupport early employee engagement initiatives to improve retentionHR Operations (estimated 10-15%)Recommend improvements to recruiting, onboarding, and hiring processes to improve efficiency and candidate experienceMaintain applicant and employee information within the HRISTrack and analyze recruiting metrics and hiring activity to identify trends and opportunities for improvementAdminister the employee uniform programDevelop and maintain relationships with workforce development organizations, schools, community partners, career fairs, and recruiting sources to strengthen candidate pipelinesCross-train to provide backup support for payroll and benefits administrationRequired Skills/Abilities:Strong written and verbal communication skillsExcellent organizational and project coordination abilitiesAbility to prioritize multiple openings and deadlinesStrong attention to detailCustomer service mindset with a positive, professional approachAbility to build relationships with candidates and hiring managersProficiency with Microsoft Office suiteAbility to maintain confidential informationEducation and Experience:High school diploma or equivalent required; associate or bachelor’s degree in Human Resources, Business Administration, or a related field preferredOne (1) to three (3) years of recruiting, talent acquisition, or human resources experience preferredExperience using HRIS and Applicant Tracking Systems (ATS) preferredSuccess in this role includes:Fill open positions efficiently while providing an outstanding candidate experienceBuild trusted partnerships with hiring managersDeliver organized, engaging onboarding experiencesMaintain accurate recruiting documentation and HRIS recordsContinuously improve recruiting and onboarding processesPhysical Requirements:Prolonged periods of sitting and working on a computerAbility to travel between company locations as neededRegular standing, walking, and use of hands and armsOccasionally lift up to 40 poundsVisual and auditory ability to safely perform job dutiesSome stooping, kneeling, or crouching requiredSafety Responsibility and Accountability:Safety is a core responsibility of every employee and is an essential function of this role.
