Characteristics of Work

Under the direction of the Facilities and Field Services Director, the Warehouse Specialist is responsible for the day-to-day operations of the warehouse, including receiving and distribution of supplies, equipment, and other materials needed for the smooth operation of Head Start centers and administrative offices, verifying and accounting for all materials delivered to the warehouse, and submission of invoices and packing slips to the Fiscal Office. The Warehouse Specialist is also responsible for securing the supply area and the building at the end of each workday.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the Agency.

Planning and Developing

Recommends updating procedures affecting warehouse operations.

Fills orders for the distribution of kitchen, office, educational, and janitorial supplies based on identified needs.

Coordinates with Division Directors to maintain an adequate inventory of supplies.

Communicating and Guiding

Answers and routes telephone calls. Records telephone messages and notifies appropriate personnel.

Recruit volunteers and in-kind contributions.

Monitoring

Receives and compares supply requests with inventory to determine whether Division Directors need to be notified to make purchases.

Record Keeping and Reporting

Prepares a Reconciliation Report of Inventory monthly showing the beginning balance, materials received, materials distributed, and the ending balance for the period.

Receives incoming supplies and equipment, verifies items delivered, signs receiving forms, and submits invoices to the Fiscal Office.

Maintains an accurate filing system if supplies are received and distributed.

Maintains an adequate inventory of supplies.

Training and Supporting

Participates in staff meetings, team planning sessions, parent meetings, training sessions, and workshops.

Additional Responsibilities

Performs other duties and assignments as directed by management.

Qualifications

High school diploma. Two years of experience in stockroom work, knowledge of supply management, and demonstrated skill in maintaining accurate and up-to-date files of inventory stock. Must have basic computer skills. Knowledge of office machines and good bookkeeping skills. Demonstrated written and oral communication skills.

Special Requirements

Applicant must:

• pass Criminal Background and Child Abuse Central Registry Checks.

• meet State health requirements.

• have the ability to communicate effectively.

Physical Requirements

While performing the duties of this job, the employee is frequently required to sit and stand and to use hands and fingers to handle or feel objects when receiving shipments and completing various forms and reports. The employee must frequently lift and/or move up to 40 lbs., with assistance, if necessary, to lift supplies. The employee primarily works in indoor environments.

Supervisory Control

The Warehouse Specialist is directly responsible to the Facilities and Field Services Director, who is responsible to the Vice President of Head Start & Early Childhood Programs. The Facilities and Field Services Director will evaluate the Warehouse Specialist semi-annually, and the evaluation will be reviewed and approved by the Vice President of Head Start & Early Childhood Programs.
