DOT Compliance and Fleet Manager

This position is located at our office in Louisville, KY. Reporting to the Vice President of Safety and Risk Management, this role is responsible for overseeing all aspects of fleet management, including vehicle scheduling, maintenance, replacements, and system administration across platforms such as Enterprise, eFleets, and Geotab, while ensuring full compliance with DOT and FMCSA regulations. This individual will partner closely with safety and operations teams to maintain a strong culture of safety, manage DOT driver records and vehicle documentation, and support compliance initiatives. The ideal candidate brings strong leadership experience, DOT compliance expertise, and the ability to drive change and gain stakeholder buy-in across the State Group family of companies.

WHAT YOU WILL DO

Comply with safety requirements and actively promote a positive safety culture. Maintain and ensure driver compliance and confidential DOT employee files including drug testing, Dielectric testing, Motor Vehicle Reports (MVR), and required driver credentials and training records. Responsible for the training, development, and performance of direct reports. Ensure the data integrity of the Enterprise and E-Fleets portal regarding asset inventory, mileage, WEX, fuel usage, and timing for vehicle replacements, and manage the Geotab system compliance with electronic logs and DOT recordkeeping regulations. Collaborate with Risk Manager on investigations into vehicle accidents, mechanical failures, and near-misses, identifying root causes and developing action plans to prevent recurrence. Implement and monitor safety policies and training programs to ensure all fleet operations comply with federal, state, and company safety standards. Coordinate cost effective strategies in a manner that meets decarbonization KPI goals with vendors including the purchase, lease, aftermarket packages, and disposal of vehicles as approved by management. Maintain records for individual vehicle titles, insurance, performance, cost tracking, and quarterly IFTA filings; ensure that pre- and post-trip inspections are completed, reviewed, properly addressed, and retained in accordance with company policy.
