The Service Planner plays a pivotal role in driving both service execution and business growth within our industrial valve service operation. This role is responsible for coordinating daily service workflow while actively engaging with customers to identify new service opportunities and expand existing valve service agreements. The Service Planner manages job scheduling, work order processing, customer communication, and technician dispatching to ensure timely, high-quality completion of all service work, both in-shop and in the field. Responsibilities span all aspects of the Valve Division, including new valves, parts, repair, automation, and field services, with a strong focus on strengthening long-term customer relationships and increasing service revenue.
How you’ll make an impact:
- Drive new valve service jobs, including intake, scheduling, tracking, execution, and post-service customer feedback, while identifying follow-on service opportunities
- Support business growth by identifying customer needs during service planning and coordination activities and partnering with Inside Sales to convert service interactions into repeat work and expanded scope
- Facilitate valve service agreements with our partners related to turnarounds for both field and shop services, supporting long-term customer relationships
- Collaborate with Inside Sales, Field Service, and Shop teams to coordinate service orders, and ensure seamless customer experience
- Act as the primary liaison between customers, technicians, shop supervisors, and sales teams to ensure efficient communication and service execution
- Generate and maintain work orders, job files, service records, and documentation in alignment with company standards and regulatory requirements
- Monitor job progress and proactively address issues or delays, maintaining high service quality while protecting customer commitments
- Support billing and invoicing by reviewing job documentation, labor hours, and parts usage to ensure accurate and timely processing
- Oversee parts procurement, job material planning, and inventory coordination for service jobs, ensuring readiness and cost control
- Manage material and equipment rental orders, updating costs and code material orders as needed
- Authorize technician expenses and update service orders as required
- Coordinate, schedule and prepare documentation and compliance for all field service projects, including pre-job meetings, job binders, and customer-required paperwork
Skills you’ll need:
- High School Diploma or equivalent
- Minimum 5 years in service coordination, or operations support in an industrial valve or industrial services environment
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced setting
- Knowledge of material flow within shop operations
- Collaborative team player with strong verbal and written communication skills
- Demonstrated leadership abilities with a proactive approach to problem-solving
- Proficiency in Microsoft Office applications
- Ability to work independently and collaboratively
- Service-oriented growth mindset, with the ability to recognize customer needs, identify follow-on service opportunities, and collaborate with sales teams to support business growth
Here’s what will set you apart:
- Bachelor's degree or equivalent preferred
- Knowledge of valve types, service procedures, and industry terminology
- Familiarity with industry standards such as API, ASME, ANSI
- Experience working in or coordinating field service jobs in the in the oil & gas, or manufacturing sectors
