Operations Manager

About the RoleYou'll be the operational spine of the business — the person who makes sure the money is right, the filings are on time, and nothing falls through the cracks while the team builds. This role serves both the agency and, for select engagements, our clients. You'll work directly with the founder with a high degree of autonomy.What You'll DoFinance & BookkeepingFull-cycle bookkeeping in QuickBooks Online: AP, AR, reconciliations, month-end closeClient invoicing, collections, and revenue recognition across retainer and project engagementsCash flow forecasting and monthly P&L review with the CEOExpense management, corporate card reconciliation, contractor payments and 1099sCoordination with outside CPA for tax prep and year-endSales Tax & ComplianceMonitor economic nexus thresholds across states for the agency and client entitiesManage registrations, filings, and remittances; own the compliance calendarAdminister sales tax automation (Stripe Tax, Avalara, or equivalent) and reconcile against platform reportingMaintain entity filings, business licenses, registered agent, and insurance renewalsHuman ResourcesOnboarding and offboarding, employment agreements, contractor classificationPayroll administration and benefits liaisonMaintain employee records, policies, and handbook; ensure CA employment law complianceSupport hiring logistics as the team scalesOffice & General OperationsVendor and SaaS subscription management, including renewals and cost reviewContract administration: MSAs, SOWs, NDAs — tracking, execution, and renewal datesInternal documentation and process improvementClient-facing operational support on select engagementsQualifications5+ years in a combined bookkeeping/operations/administrative role, ideally at an agency, professional services firm, or small businessStrong QuickBooks Online proficiency; comfortable with month-end close without supervisionWorking knowledge of multi-state sales tax and economic nexus rulesFamiliarity with California employment law and payroll platforms (Gusto, Rippling, or similar)Excellent written communication — you'll be corresponding with clients and state agenciesComfort with ambiguity and building process where none existsExperience with ecommerce businesses (Shopify, Stripe, Magento) and their reporting quirksExposure to Avalara, TaxJar, or Stripe TaxBookkeeping certification or accounting courseworkExperience supporting multiple legal entitiesRetail Reinvented is a small, fast-moving agentic commerce agency.
