Job Summary

The Front Desk Coordinator manages administrative front-office tasks, ensures efficient patient flow, and delivers exceptional customer service within an outpatient eye care center. This role serves as the primary point of contact for patients, facilitating registration, appointment scheduling, insurance verification, and communication to maintain a seamless, high-quality patient experience.

Key Responsibilities

• Patient Intake & Check-In: Greet and welcome patients, administer intake forms, verify identity, and update demographic and insurance information in the clinic system. Collect co-payments, deductibles, and outstanding account balances.
• Patient Communications: Answer incoming telephone calls, address general inquiries, address patient concerns with professionalism and empathy, and accurately route calls to the appropriate clinical or administrative departments.
• Scheduling & Records Management: Schedule patient appointments, assist with provider schedule management, and perform appointment confirmations. Scan and archive intake forms, insurance documents, and medical records into the electronic health system.
• Office Administration & Reporting: Reconcile daily financial and patient reports, monitor front office supply inventory, and maintain a clean, organized, and welcoming waiting room environment.

Qualifications & Requirements

• Education: High School Diploma or equivalent required.
• Experience: Minimum of 1 to 2 years of front office, reception, or customer service experience within a medical practice or eye care setting preferred.
• Knowledge & Skills:
• Understanding of basic medical terminology and health insurance workflows.
• Strong computer skills with experience navigating electronic health records (EHR) and practice management software.
• Exceptional interpersonal, communication, and conflict-resolution abilities.
• Strong organizational and multitasking skills with high attention to detail in a fast-paced environment.
