US Trades is seeking a full-time Onsite Workforce Coordinator to serve as our daily representative at the LALNG project.

This position will provide direct onsite support to US Trades employees assigned to the project and will act as a primary point of contact between our field workforce, US Trades' internal operations team, and project personnel.

The Onsite Workforce Coordinator will support employees from their initial arrival and orientation through their ongoing assignment. This individual will help ensure employees understand where to report, have the necessary PPE and information to begin work, maintain proper attendance and timekeeping records, and have an accessible US Trades representative onsite when questions or issues arise.

This is a hands-on position requiring significant interaction with employees throughout the project site. The successful candidate must be organized, dependable, approachable, comfortable working in an active industrial construction environment, and capable of handling multiple employee and administrative issues at the same time.

Primary Responsibilities

• Serve as the primary daily onsite representative for US Trades at the LALNG project.
• Establish a visible and accessible US Trades presence for employees working throughout the project.
• Meet incoming employees during orientation, training, or their initial arrival to the project.
• Help new employees understand the onboarding process, reporting locations, schedules, transportation or site requirements, and who they will report to in the field.
• Introduce and transition newly arriving employees into their assigned work areas and crews.
• Issue US Trades-provided PPE and maintain appropriate PPE inventory and issuance records.
• Provide employees with basic project information and answer questions regarding their assignment, payroll process, timekeeping, attendance, and US Trades procedures.
• Assist employees who are directed to the project's medical, HR, safety, training, or administrative areas and provide US Trades representation when appropriate.
• Maintain communication with US Trades management regarding employee issues, attendance concerns, removals, transfers, resignations, injuries, and other workforce developments.
• Monitor employee attendance and identify absences, late arrivals, early departures, or other attendance concerns requiring follow-up.
• Contact employees when appropriate to resolve attendance or reporting issues.
• Maintain accurate records regarding employee status and project assignments.
• Collect, review, and reconcile project timekeeping information.
• Parse project/customer timesheets and transfer employee hours into the US Trades timekeeping format for payroll processing.
• Identify discrepancies in employee hours and coordinate corrections with the appropriate project personnel and US Trades Payroll Team.
• Help ensure weekly timekeeping information is complete and submitted accurately and on schedule.
• Coordinate with US Trades Recruiting, Operations, Payroll, Safety, and Account Management teams regarding incoming employees and current workforce needs.
• Assist with employee mobilizations and expected arrival schedules.
• Maintain awareness of employees scheduled to arrive, employees currently working, and employees leaving the project.
• Help communicate project instructions, schedule changes, reporting information, and other workforce notices to US Trades employees.
• Escalate employee relations, safety, disciplinary, payroll, or customer issues to the appropriate US Trades management personnel.
• Maintain professionalism and confidentiality when handling employee and project information.
• Perform additional workforce coordination and project support duties as the LALNG workforce continues to grow.

Qualifications

• Previous experience in construction administration, workforce coordination, field operations, staffing, payroll/timekeeping, project coordination, or a related position strongly preferred.
• Experience supporting a large industrial construction workforce is preferred.
• Strong organizational and administrative skills.
• Strong Excel and computer skills with the ability to work with spreadsheets, employee rosters, timesheets, and workforce tracking systems.
• Ability to accurately process and reconcile large amounts of timekeeping and employee information.
• Strong interpersonal and communication skills.
• Comfortable communicating with craft employees, supervisors, project management, safety personnel, HR representatives, and corporate staff.
• Ability to professionally handle employee questions and difficult situations.
• Ability to work independently while maintaining regular communication with US Trades management.
• Dependable attendance and ability to maintain a consistent onsite schedule.
• Ability to prioritize multiple issues in a fast-paced construction environment.
• High attention to detail and commitment to accurate documentation.
• Ability to maintain confidential employee and company information.

Work Environment

This position is based full-time at the LALNG construction project and will require regular movement throughout the site and project facilities.

The employee must be comfortable working around active industrial construction operations and interacting directly with a large field workforce.

The position will include a combination of office/administrative responsibilities and regular interaction with employees throughout the project site.

Ideal Candidate

The ideal candidate is someone who enjoys being the person employees can go to when they need help while also being disciplined enough to maintain accurate records and follow established processes.

This individual should be comfortable spending part of the day working with spreadsheets, timekeeping, and workforce records and another part of the day meeting employees, visiting project offices, assisting new arrivals, and resolving day-to-day field issues.

The position requires someone who can represent US Trades professionally while developing strong working relationships with both our employees and the Bechtel project team.
