Project Manager / Senior Project Manager
Kelaca is partnering with a growing medical device company to hire a Project Manager / Senior Project Manager to lead hospital-based installation projects. This remote or Minnesota-based role sits at the centre of complex installation work involving radiation protection and suspension arm equipment used in fluoroscopy environments.
You will translate technical, clinical and construction requirements into practical delivery plans, from early assessment and site readiness through installation, documentation and handover. The position is strongly hands-on today, with the opportunity to grow into a broader player-coach remit as delivery capacity expands.
The role exists because installation demand is increasing while the current delivery team remains lean. Success means adding immediate project leadership in a specialised hospital environmentbalancing detail and pace, keeping stakeholders aligned, and applying sound judgement when conditions shiftwhile helping the function mature and scale.
Key Responsibilities
Project & installation management
- Lead hospital installation projects end to end, from initial planning and pre-installation assessment through completion, documentation and handover.
- Oversee the installation of radiation protection and suspension arm equipment in hospital fluoroscopy environments.
- Build and maintain practical project plans that cover milestones, dependencies, resources, equipment movement and site-readiness activities.
- Manage multiple concurrent projects while balancing shifting priorities, timelines and stakeholder needs.
Cross-functional & external coordination
- Act as the central coordination point across hospital stakeholders, construction partners, engineers, installers and internal teams.
- Serve as a primary point of contact for hospital leadership, clinical teams, facilities staff and external contractors to align on scope, timing and site requirements.
- Coordinate internal stakeholders across sales, operations, logistics and other delivery partners to ensure seamless execution and clear ownership.
Technical & site readiness
- Virtually conduct and coordinate pre-installation site assessments to identify risks, constraints, access issues and readiness gaps before installation windows are affected.
- Review, interpret and, where needed, adjust CAD drawings to support planning, sequencing and alignment with facility requirements.
- Ensure proposed installations align with hospital infrastructure, ceiling loads, room layouts and clinical workflows.
Logistics & on-site execution
- Coordinate equipment shipments, contractor schedules and on-site installation support so all parties and materials are in place when needed.
- Proactively identify risks or delays and implement mitigation plans to keep projects on track.
- Support on-site issue resolution during installation, escalating appropriately while maintaining momentum and clear communication.
Compliance, safety & quality
- Ensure all installations are delivered in line with hospital protocols, safety expectations, regulatory requirements and internal quality standards.
- Promote a culture of safety, quality and accountability across contractors, internal teams and partners throughout the installation lifecycle.
Reporting, documentation & continuous improvement
- Maintain clear project reporting and accurate records so leadership and delivery partners have a reliable view of status, issues and next steps.
- Own and organise key project documentation, including schedules, site assessments, installation records and final handover materials.
- Capture lessons learned and contribute to improving tools, templates and operating rhythms as volume grows.

- Medical device installation project management: needed to lead programmes where planning, logistics, clinical constraints and execution all have to come together in a disciplined way.
- Hospital and clinical environment knowledge: important because installations must fit around active care environments, clinical workflows and facility operating realities.
- CAD drawing interpretation and modification: useful for understanding room layouts, equipment positioning, ceiling or infrastructure constraints, and what must be solved before work begins on site.
- Construction workflow coordination: required to work effectively with contractors, engineers and facilities teams whose timelines and dependencies directly affect installation readiness.
- Pre-installation site assessment: critical for spotting risks, access issues, infrastructure gaps or sequencing problems before they become costly delays.
- Regulatory compliance and safety standards: essential in environments where hospital protocols, quality expectations and safe installation practices cannot be treated as afterthoughts.
- Project management software: helpful for keeping multiple concurrent projects, timelines, actions and communications organised across a distributed delivery model.

Location & Working Pattern
This role can be based remotely or in Minnesota. Travel is expected up to 20%, primarily in support of site assessments, installation activity and stakeholder coordination.
