William Charles Construction, a MasTec Company, is currently hiring an Office Coordinator in our Rockford, IL office. Under direct supervision, the Office Coordinator operates the telephone switchboard, receiving and transferring incoming calls; interacts effectively with walk-in and telephone customers, and handles a variety of clerical tasks. This work requires courtesy and tact in dealing with people. Incumbent may be assigned a functional department to provide back-up support. This position will interact with all company positions as they enter the building or call on the telephone. Duties may vary depending on the specific functional area to which the individual is assigned.

Responsibilities:

• Handles a multi-line switchboard
• Responsible for receiving and routing incoming phone calls received by the company's main line
• Greets guests and establishes their needs to direct them to the appropriate person
• Schedules meetings for conference rooms through Outlook Calendar software
• Responsible for picking up and sorting incoming mail as well as delivering mail to appropriate interoffice recipients, including post office pickup/drop off
• Creates UPS and FedEx shipments and delivers received packages as needed
• Responsible for entering data into computer programs for various department heads such as Safety Huddles/Toolbox Talks for Safety Director, Labor Law Posters for EEO Compliance, etc.
• Responsible for supporting various departments on tasks including new jobsite trailer setups/field site needs
• General office duties such as ordering/maintaining office supplies
• Support the onboarding of new hires
• Will provide other duties as assigned

Qualifications:

• High School Diploma or equivalent
• 3 to 5 years Office Coordinator/Reception experience in a fast-paced environment
• Knowledge/Skills/Abilities: Working knowledge of Microsoft Office. Working knowledge of basic office practices. Ability to effectively communicate orally and in writing, in person and by telephone. Operating telephone equipment and receiving/transferring of incoming calls
