Event Coordinator & Membership Experience Manager We are seeking a passionate and organized professional to join our nonprofit team as an Event Coordinator / Membership Experience Manager. This dual‑role position is ideal for someone who thrives on creating meaningful experiences, building community, and driving mission impact through events, venue rentals, and membership growth. Event Coordination & Venue Management Plan and execute events including member events, external rentals, fundraisers, community programs, member mixers, and partner receptions. Manage venue rental inquiries, contracts, scheduling, and logistics for external clients and internal programs. Coordinate catering and bar packages, ensuring compliance with club policies and local regulations. Maintain relationships with preferred vendors and negotiate cost‑effective service agreements. Track event budgets, monitor expenses, and ensure events align with fundraising and engagement goals. Membership Experience & Sales Serve as the primary point of contact for members, donors, and community partners. Develop and implement strategies to attract, onboard, and retain members. Actively promote and sell membership through outreach, events, and personalized engagement and marketing. Organize member‑exclusive programs, benefits, and recognition initiatives. Maintain accurate membership records and analyze data to inform growth strategies. Create and manage weekly member communication, newsletter, update social media and marketing. Partner with Social Committee, catering partner and Board to align events and membership efforts with organizational goals. Support fundraising campaigns and membership/event referrals through events. Prepare reports on event performance, rental revenue, and membership metrics for leadership and board review monthly. Qualifications Bachelor’s degree in Marketing, Event Planning, Hospitality, or related field preferred. 3+ years of experience in event coordination, membership management, or related field. Proven ability to manage logistics, budgets, and vendor relationships. Strong communication, customer service, and sales skills. Familiarity with CRM systems, donor databases, and event platforms. Mission‑driven and community‑oriented mindset; creative, resourceful problem‑solver. Comfortable juggling multiple priorities and deadlines. Experience working with diverse populations and inclusive programming. Role Description This is a full‑time, on‑site role located in Greater Indianapolis for an Event Coordinator & Membership Experience Manager. The individual in this role will plan and oversee exclusive club events, manage memberships, and ensure a seamless and enjoyable experience for all members. Day‑to‑day responsibilities include event planning and execution, fostering positive relationships with members, coordinating with staff to deliver excellent customer service, overseeing membership inquiries and retention efforts, and supporting sales of memberships and event packages.
