Food & Beverage Coordinator Company Overview: Fair Oaks Performing Arts Center is a vibrant cultural hub dedicated to fostering creativity, innovation, and community engagement through diverse performing arts experiences. Located in the heart of Fair Oaks Village, the center offers a range of performances, including theater productions, musical concerts, dance recitals, comedy shows, speaker series, community rentals, and more. Position Overview: The Food & Beverage Coordinator is a part-time position that is responsible for overseeing all concessions and bar operations at the Fair Oaks Performing Arts Center. This role ensures high-quality, efficient and compliant service during events, including managing inventory, staffing, and vendor coordination. The ideal candidate is detail-oriented, customer-focused, and experienced in food and beverage operations in a fast-paced event environment. Job Summary: The Food & Beverage Coordinator oversees concessions, beverage service, artist hospitality, catering coordination, inventory management, permitting, and event-related hospitality services for performances, rentals, festivals, and special events held at the Fair Oaks Performing Arts Center and throughout the District. Essential Duties and Responsibilities: Oversee all food and beverage operations for performances, rentals, festivals, special events, and District programs, including concessions, bar service, hospitality, and catering coordination. Hire, train, schedule, supervise, and evaluate part-time staff, bartenders, concession workers, and volunteers. Ensure compliance with all applicable health codes, California ABC regulations, Responsible Beverage Service (RBS) requirements, permits, and District policies. Coordinate artist, performer, VIP, sponsor, and guest hospitality, including dressing room hospitality, catering, backstage refreshments, and special requests. Serve as the primary liaison for food and beverage services with vendors, caterers, breweries, wineries, sponsors, promoters, renters, and event organizers. Order, receive, store, track, and manage inventory of food, beverage, hospitality, and concession supplies; conduct regular inventory counts and maintain inventory control systems. Develop and implement concession menus, beverage offerings, pricing strategies, and promotional programs that support revenue generation and enhance the guest experience. Forecast inventory, staffing, and purchasing needs based on event schedules, attendance projections, and historical sales data. Coordinate the setup, operation, and breakdown of concession stations, bars, hospitality areas, and mobile beverage service locations. Operate and reconcile point-of-sale systems; oversee cash handling, deposits, financial controls, event settlements, and post-event reporting. Develop, implement, and maintain standard operating procedures for food and beverage, hospitality, and concession operations. Collaborate with District staff, promoters, renters, and community partners to support successful event operations and exceptional patron experiences. Ensure high standards of customer service, cleanliness, organization, sanitation, and safety throughout all food and beverage service areas. Maintain concession equipment, bar equipment, storage areas, and related facilities in a safe, organized, and professional manner. Assist in preparing operating budgets, revenue projections, financial reports, and performance metrics related to food and beverage operations. Perform other related duties as assigned. Job Requirements: 2+ years of experience in food & beverage management or similar role Valid ServSafe Manager certification and RBS certification (or ability to obtain upon hire) Knowledge of local health and safety regulations related to food and alcohol service Strong organizational and communication skills Ability to work flexible hours, including evenings, weekends, and holidays as needed Must pass background check and possess reliable transportation Knowledge, Skill and Experience: Knowledge of food and beverage service operations in event or performing arts venues, including point-of-sale systems, inventory management, alcohol service compliance, and customer service best practices. Understanding of safety, sanitation, and local health regulations is essential. Minimum Education required: High school diploma or general education degree (GED); and/or six months of related experience in food & beverage service or hospitality. A background in event coordination or culinary arts is a plus. Minimum Experience required: 12 years of experience in concessions, catering, or food and beverage management, preferably in a live event or performing arts setting. Supervisory experience preferred. Other requirements: All applicants must be fingerprinted and pass a pre-employment background check. Valid ServSafe Manager certification and RBS certification are required or must be obtained upon hire. Reliable transportation to and from work is required. Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Licenses and Other Requirements: Must possess and maintain a valid California class C driver's license, proof of personal vehicle insurance, and a satisfactory driving record are required. At the option of the appointing authority, persons hired into this class may be required to either possess at entry or obtain within specified time limits designated licenses, certifications, or specialized education and training relevant to the area of assignment. Computer Skills: To perform this job successfully, an individual should have knowledge of Adobe Acrobat and the Microsoft Office Suite of products and possess typing skills of at least 40-50 wpm. Knowledge of basic office equipment should include Internet and email, copy and fax machines, postage meter, telephone, and answering machine. Physical and Emotional Demands: Dexterity of hands and fingers to operate assigned tools and equipment. Bending at the waist, kneeling, or crouching. Hearing and speaking to exchange information. Sitting, standing, and walking for extended periods. Climbing ladders and stairs to rig lighting equipment. Seeing to perform assigned activities. Regularly lift and/or move up to 50 pounds; lifting, carrying, pushing, or pulling heavy objects up to 100 pounds with assistance. Reaching overhead, above the shoulders, and horizontally. Performs heavy physical labor, such as lifting (up to 30-50 pounds), carrying heavy objects, and using a shovel and other equipment to dig. Climbs ladder and works at heights. Exposure to fumes, dust, and air contaminants which may cause eye and skin irritation. Work Environment: Indoor and outdoor environment. Theater environment. Evening or variable hours.
