Position Summary

The Front Desk Coordinator & First Impression Officer serves as the welcoming face of Sunshine Silver & Refining and plays a vital role in creating a positive experience for employees, visitors, contractors, vendors, and community members. This position is far more than answering phones and greeting guests. It is the nerve center of the administrative office, requiring exceptional multitasking, initiative, problem-solving, adaptability, and a commitment to outstanding service.

The successful candidate thrives in a fast-paced environment where no two days are the same. They anticipate needs, find solutions, maintain organization amid changing priorities, and support employees across all levels of the organization. This role is critical to ensuring smooth daily operations while creating a professional, safe, and welcoming environment.

Key Responsibilities

First Impressions & Guest Experience

  • Serve as the primary point of contact for all visitors, employees, contractors, and vendors.
  • Create a welcoming, professional, and safety-conscious environment.
  • Manage visitor sign-in procedures and coordinate site access requirements.
  • Answer, screen, and direct incoming calls, emails, and walk-in inquiries.
  • Ensure reception and common areas remain clean, organized, and professional.

Administrative Coordination

  • Provide administrative support to multiple departments, including HR, Operations, Exploration, Safety, Finance, and Leadership.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Prepare correspondence, reports, presentations, and other documentation.
  • Maintain filing systems and support document digitization initiatives.
  • Order and track office supplies while maintaining inventory levels.
  • Coordinate conference rooms, meetings, and special events.

Employee Support

  • Assist employees with forms, information requests, and general administrative needs.
  • Support onboarding activities for new hires and contractors.
  • Help employees navigate company processes and direct them to appropriate resources.
  • Provide exceptional customer service to a diverse workforce, including field and office employees.

Problem Solving & Initiative

  • Identify issues and take ownership of finding practical solutions.
  • Anticipate needs before they become problems.
  • Adapt quickly to changing priorities and unexpected situations.
  • Exercise sound judgment when handling confidential and sensitive information.
  • Recognize opportunities to improve processes and efficiency.

Operational Support

  • Assist with company events, employee engagement activities, and special projects.
  • Support travel coordination, lodging arrangements, and visitor logistics when needed.
  • Maintain records and databases with a high degree of accuracy.
  • Provide backup administrative support for various departments as business needs require.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum two years of administrative, customer service, reception, or office coordination experience.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office applications and general office technology.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Preferred

  • Experience in mining, industrial, construction, manufacturing, or related environments.
  • Experience supporting multiple departments simultaneously.
  • Familiarity with document management systems and digital filing systems.
  • Event coordination or employee support experience.
