Vivalon is seeking a detail-oriented and highly organized Operations Specialist to support the administrative functions of our Operations team. This role plays a critical part in ensuring efficiency, accuracy, and coordination across multiple operational areas. The ideal candidate is a strong communicator with exceptional scheduling, data management, and organizational skills, and is comfortable supporting diverse teams in a fast-paced environment.

Key Responsibilities:

• Develop and maintain forward-looking schedules to support operational needs and resource planning
• Perform accurate data entry and maintain organized records across operational systems
• Track, analyze, and report on operational data to support decision-making and process improvements
• Provide administrative support to dispatchers to ensure smooth daily operations
• Assist with billing coordination in collaboration with the Billing team
• Support reporting needs in partnership with internal stakeholders
• Coordinate scheduling and logistics for training programs in support of the Safety & Training team
• Collaborate cross-functionally to ensure alignment and timely completion of operational tasks
• Communicate effectively with team members and stakeholders to address scheduling and administrative needs

• Strong organizational and time management skills with the ability to prioritize multiple tasks
• Excellent communication and interpersonal skills
• Proficiency in data entry, tracking, and reporting
• Advanced scheduling and coordination abilities
• High attention to detail and accuracy
• Ability to work collaboratively across departments
• Proficiency with Microsoft Office or similar systems (Excel experience preferred)
• Prior experience in operations, logistics, transportation, or administrative support roles

Compensation and Benefits:

• $27 - $34/hour depending on experience.
