POSITION OVERVIEW
JOB SUMMARY:
The Admissions Specialist is responsible for recruiting new students to the University of West Florida, actively engaging in outreach efforts such as attending college fairs, visiting high schools, and building relationships with school counselors. This role includes managing an assigned recruitment territory, developing and executing an action plan to meet enrollment goals, and effectively communicating with prospective students and their families through various mediums. The specialist will provide information about UWF, the admissions process, admission requirements, scholarships, and financial aid. This position requires extensive travel, often including evenings, weekends, and overnight stays, to effectively engage with prospective students and stakeholders. Additionally, this position collaborates with the undergraduate admissions team to facilitate events, assist with campus tours, and serve as a primary representative of the institution, supporting UWF’s overall mission. The Admissions Specialist will also develop knowledge of application review processes and assist with application review and processing tasks as needed.
MINIMUM QUALIFICATIONS:
A bachelors degree in an appropriate area of specialization and three years of appropriate experience; or a high school diploma and seven years of appropriate experience.
POSITION QUALIFICATIONS:
The Admissions Specialist must possess strong communication and customer service skills to effectively engage with prospective students, families, and other stakeholders. This role requires the ability to work both independently and collaboratively as part of a team, demonstrating strong problem-solving skills and adaptability in a dynamic environment. Candidates should be comfortable working with technology, including Microsoft Office and Google Suite, and have the ability to learn and navigate various systems and platforms. Strong written and verbal communication skills are essential, along with the ability to interpret and apply institutional policies, guidelines, and admission requirements. Flexibility and a willingness to adapt to evolving priorities are key to success in this position.
PREFERRED QUALIFICATIONS:
Ideal candidates will have prior experience in college or university admissions, student ambassador or tour guide roles, or as a resident assistant in a university setting. The ability to effectively communicate with both small and large groups, including individuals from all backgrounds, is highly valued. Strong public speaking skills and a demonstrated commitment to exceptional customer service are essential. Additionally, experience working with customer relationship management (CRM) systems, such as Slate, is preferred.
ESSENTIAL FUNCTIONS/JOB DUTIES:
- 40%% - Recruitment Travel and Territory Management: The Admissions Specialist is responsible for managing an assigned recruitment territory, requiring frequent travel to attend college fairs, visit high schools, and give presentations to prospective students and key stakeholders. This includes building and maintaining relationships with school counselors and community partners, strategically planning travel to maximize outreach, and representing UWF at various recruitment events. Travel often involves extended overnight stays, weekend commitments, and flexibility to accommodate evolving schedules and priorities. - (Essential)
- 35%% - Communication and Engagement with Prospective Students and Families: A significant portion of this role involves direct communication with prospective students, families, and counselors through multiple platforms, including phone, email, text, and instant messaging. The Admissions Specialist plays a key role in managing departmental communication, ensuring timely, accurate, and personalized responses to inquiries regarding admission requirements, scholarships, financial aid, and next steps in the enrollment process. Effective communication and relationship-building are critical to guiding students through the admissions journey and increasing enrollment yield. - (Essential)
- 20%% - Application Review, Event Facilitation, and Administrative Support: The Admissions Specialist assists with application review and processing tasks as needed, ensuring that admissions decisions align with institutional policies and requirements. Additionally, they support and facilitate major admissions events such as open houses, special recruitment events, and new student orientation. The role also includes providing support for campus visit programs and assisting with general administrative tasks that contribute to the overall efficiency of the undergraduate admissions team. - (Essential)
- 5%% - Additional Support Responsibilities: The Admissions Specialist may be assigned other duties as necessary to support the goals and operations of the university admissions office. These tasks vary based on departmental needs and may include collaboration with campus partners, professional development participation, or special projects that enhance recruitment and enrollment efforts. Furthermore, they will assist with and/or participate in Enrollment/University events as needed; other duties as assigned based on departmental, unit and/or divisional needs. - (Essential)
