Maintenance Manager

The Maintenance Manager is responsible for overseeing the maintenance, repair, safety, and general upkeep of company facilities and property. This position requires a hands‑on individual with experience in electrical systems, HVAC/air conditioning, plumbing, general construction, and handyman work. The Maintenance Manager will perform routine maintenance and repairs, identify potential facility issues before they become larger problems, coordinate outside contractors when necessary, and ensure company facilities remain safe, clean, functional, and professional. Essential Duties and Responsibilities Department Management and Supervision Provide direct supervision and leadership to Maintenance Department employees. Develop and manage daily, weekly, and on-call work schedules for department staff. Assign maintenance requests, preventative maintenance tasks, projects, and other duties to appropriate employees. Prioritize department workload based on urgency, safety, operational impact, and business needs. Monitor employee workloads and adjust assignments and schedules as necessary. Ensure maintenance employees complete assigned work accurately, safely, and within reasonable timeframes. Train and mentor maintenance employees on proper procedures, equipment use, safety requirements, and company expectations. Provide employees with direction, coaching, and feedback regarding job performance. Assist management and Human Resources with employee performance evaluations and disciplinary matters when appropriate. Review and approve employee timekeeping, leave requests, and scheduling changes in accordance with company procedures. Coordinate department coverage for vacations, absences, emergencies, and special projects. Conduct department meetings as necessary to discuss projects, safety concerns, schedules, priorities, and upcoming work. Promote teamwork, professionalism, accountability, and excellent service within the Maintenance Department. Communicate regularly with management regarding department operations, staffing needs, facility concerns, and major projects. Facility Maintenance Perform routine inspections of buildings, equipment, grounds, and facility systems. Complete general maintenance and repair work throughout company facilities. Troubleshoot maintenance problems and determine appropriate repairs. Perform minor carpentry, drywall, painting, door, lock, ceiling tile, flooring, and other general repairs. Maintain tools, equipment, maintenance areas, and supplies in a clean and organized condition. Respond promptly to maintenance requests and facility emergencies. Perform preventative maintenance to reduce equipment failures and unexpected repair costs. Electrical Troubleshoot and perform minor electrical repairs within the employee's qualifications and applicable regulations. Replace switches, outlets, light fixtures, bulbs, ballasts/drivers, and other basic electrical components. Identify electrical problems that require a licensed electrician and coordinate professional service when necessary. Inspect lighting and other electrical equipment for proper operation and safety concerns. HVAC / Air Conditioning Have working knowledge of commercial HVAC and air-conditioning systems. Troubleshoot common heating and cooling issues. Replace filters and perform routine preventative HVAC maintenance. Inspect HVAC equipment for abnormal operation, leaks, noises, or other problems. Coordinate with licensed HVAC contractors for repairs requiring specialized equipment, licensing, or certification. Plumbing Diagnose and repair common plumbing problems. Repair or replace faucets, toilets, valves, fixtures, and other basic plumbing components. Address minor leaks, clogged drains, and water-related maintenance issues. Identify larger plumbing problems and coordinate with licensed plumbers when necessary. Grounds and General Maintenance Inspect parking lots, sidewalks, exterior lighting, signage, doors, fencing, and other exterior areas. Perform general handyman and property maintenance duties as needed. Assist with moving furniture, equipment, supplies, and other company property. Help prepare facilities for weather-related events and emergencies. Maintain an appropriate inventory of commonly used maintenance parts and supplies. Management and Administrative Responsibilities Prioritize, assign, and track maintenance projects and work orders. Develop and maintain preventative maintenance schedules. Obtain estimates and coordinate outside contractors and vendors. Monitor contractors work to ensure projects are completed properly and safely. Maintain records of repairs, inspections, preventative maintenance, and equipment servicing. Assist management with developing maintenance and facility improvement budgets. Identify opportunities to reduce maintenance expenses and improve facility reliability. Communicate facility concerns, major repairs, and safety issues to management. Safety Responsibilities Follow all company safety policies, procedures, and applicable federal, state, and local regulations. Prioritize safety-related concerns and take prompt action to address or elevate potential hazards. Maintain maintenance areas, electrical rooms, mechanical rooms, storage areas, and other workspaces in clean, organized, and safe conditions. Properly select, use, and maintain required personal protective equipment (PPE). Proactively identify, correct when appropriate, and promptly report unsafe conditions or potential hazards. Never perform work that requires a professional license, certification, or specialized qualification unless properly licensed, certified, trained, and authorized to do so. Ensure safety concerns that cannot be immediately resolved are promptly communicated to the appropriate management personnel and addressed in accordance with company procedures. Qualifications High school diploma or equivalent required. Minimum of 3-5 years of experience in facility maintenance, building maintenance, construction, or a related field preferred. Hands‑on experience with electrical, HVAC/air conditioning, plumbing, carpentry, and general building maintenance. Strong troubleshooting and problem‑solving abilities. Ability to determine when a repair can be completed internally and when a licensed contractor is required. Ability to read equipment manuals, instructions, and basic building diagrams. Strong organizational and time‑management skills. Ability to work independently and manage multiple maintenance priorities. Good communication and customer‑service skills when working with employees, management, contractors, and vendors. Basic computer skills for email, work orders, maintenance records, and vendor communication. Valid driver’s license and acceptable driving records may be required. Physical Requirements The position may require the employee to: Regularly stand, walk, bend, kneel, climb, reach, and work in confined areas. Safely use ladders and basic maintenance equipment. Lift and carry approximately 50 pounds independently and heavier items with appropriate assistance or equipment. Work indoors and outdoors in varying temperatures and weather conditions. Perform physical maintenance duties for extended periods. Respond to urgent facility issues when necessary. Preferred Qualifications Commercial building maintenance experience. HVAC maintenance or EPA certification. Electrical or plumbing experience. Experience managing contractors and maintenance vendors. Experience maintaining multiple facilities or locations. Experience with generators, emergency power systems, access‑control equipment, and other building systems. OSHA or other workplace safety training. Work Expectations The Maintenance Manager is responsible for taking ownership of the overall condition, functionality, and upkeep of company facilities. This is a hands‑on, working management position that requires the ability to perform maintenance and repair duties while also supervising, directing, and supporting the maintenance team. The successful candidate will be dependable, safety‑conscious, organized, and proactive in identifying and addressing maintenance needs. The Maintenance Manager should be capable of handling a wide variety of general repairs and maintenance tasks while recognizing when specialized expertise or licensed contractors are required. The position may occasionally require after‑hours, weekend, or emergency work to address facility needs and ensure the continued safety, operation, and functionality of company facilities.
