The Facilities and Workplace Safety Coordinator supports the day-to-day operations, safety, and workplace experience of the Genesys Menlo Park office. Reporting to the Facilities Manager, this role serves as a welcoming first point of contact for employees, visitors, and vendors while helping maintain a safe, organized, efficient, and engaging workplace.

This is an opportunity to build hands-on experience across facilities operations, workplace safety, office administration, employee experience, and vendor coordination while collaborating with teams across Genesys.

Key Responsibilities

Reception and Workplace Experience

• Welcome employees, visitors, guests, and vendors and provide professional, service-oriented support.
• Serve as a first point of contact for general workplace and office inquiries.
• Coordinate conference room bookings and provide meeting support as needed.
• Maintain reception areas, conference rooms, and shared spaces to ensure they are organized, welcoming, and ready for use.
• Partner with the Workplace Community Team to support an engaging and inclusive onsite employee experience.

Facilities and Office Operations

• Support the Facilities Manager with daily workplace and facilities operations.
• Coordinate access card issuance, returns, and guest passes in partnership with appropriate internal teams.
• Maintain kitchen, breakroom, pantry, coffee, and general office supplies.
• Support the cleanliness and organization of shared workplace areas, including loading and unloading dishwashers and resetting common spaces as needed.
• Monitor office supply inventory and coordinate replenishment.
• Manage incoming and outgoing mail, courier deliveries, shipping, and packages.
• Coordinate with vendors, contractors, and building management on routine workplace maintenance and service requests.
• Support facilities projects, including scheduling, documentation, vendor coordination, reporting, and other project activities appropriate to the role.

Workplace Safety and Compliance

• Partner with the Genesys Security team and Facilities Manager to support workplace safety procedures and compliance activities.
• Participate in workplace safety activities, inspections, emergency preparedness initiatives, and safety meetings as required.
• Support the documentation and coordination of safety-related activities and follow-up actions.
• Follow established emergency response, workplace safety, and security procedures.
• Help communicate workplace safety information and procedures to employees and visitors as appropriate.
• Identify and promptly escalate potential workplace safety or facilities concerns to the appropriate team.

Administrative and Team Support

• Provide administrative support, including filing, shipping, scanning, record maintenance, and document organization.
• Maintain internal office information, contact lists, calendars, directories, and workplace documentation.
• Support internal communications related to office operations, workplace updates, safety information, and events.
• Assist with local and global workplace or facilities projects as assigned.
• Handle sensitive workplace information with appropriate discretion and confidentiality.

Onboarding and Employee Support

• Coordinate onsite elements of new-hire orientation and first-day workplace setup.
• Partner with IT and other teams on equipment inventory retrieval and coordination when needed.
• Respond to routine employee workplace requests and connect employees with the appropriate resources when additional support is required.
• Build collaborative relationships across teams by demonstrating empathy, responsiveness, and a service-oriented approach.

Events and Meetings

• Coordinate setup and breakdown for office lunches, meetings, employee programs, and social events.
• Prepare event and meeting spaces and ensure spaces are appropriately reset following activities.
• Collaborate with internal partners and vendors to support workplace events and employee experiences.

Qualifications

• Demonstrate strong organizational, planning, prioritization, and communication skills.
• Provide a high level of customer service while building positive relationships with employees, visitors, vendors, and business partners.
• Communicate clearly and professionally in written and verbal interactions.
• Demonstrate attention to detail and sound judgment while managing multiple priorities.
• Work effectively both independently and collaboratively in a team environment.
• Demonstrate proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
• Handle confidential or sensitive information with discretion.
• Coordinate effectively with external vendors, contractors, and service providers.
• Demonstrate an interest in facilities operations, workplace experience, office administration, or workplace safety.
• Read, write, and communicate effectively in English as required to perform the responsibilities of the role.

Preferred Qualifications

• Bring previous experience in facilities, workplace operations, office coordination, hospitality, reception, administrative support, or a related environment.
• Demonstrate experience coordinating vendors, workplace services, meetings, or office events.
• Apply knowledge of basic workplace safety practices, emergency procedures, or facilities processes.
• Bring relevant education, training, or certifications in facilities, workplace safety, business administration, hospitality, or a related area.

Physical Requirements

This onsite position involves regular movement throughout the workplace and may require prolonged periods of sitting, standing, and computer use. The role may also require the ability to move or lift workplace supplies and materials weighing up to 30 pounds, with or without reasonable accommodation.

Compensation:

This role has a market-competitive salary with an anticipated base compensation range listed below. Actual salaries will vary depending on a candidate’s experience, qualifications, skills, and location. This role might also be eligible for a commission or performance-based bonus opportunities.
