In animation , the Story department is the engine room of the production. As the Story Coordinator, you are the glue that holds the creative vision and the production schedule together.

You will support the Producer and Production Manager (PM) by managing the administrative pulse of the department, ensuring that our story artists have exactly what they need to create world-class content.

Detailed Responsibilities: Orchestrating the Story Department

The Story Production Coordinator ’s role is multifaceted, blending technical data management with high-level interpersonal coordination.

1. Communication & Documentation

• Meeting Stewardship: Attend all story-related meetings and creative sessions. You are responsible for capturing concise, accurate notes and distributing them to the relevant stakeholders immediately to keep production moving.

• Review Coordination: Assist the PM in scheduling review sessions. You will handle the logistics of room preparation, booking theaters for screenings, and ensuring all technical equipment is ready for the directors.

• Inter-Departmental Liaison: Work closely with the Script Coordinator to prep for voice records and file production script pages. You will also ensure that story artists are always working with the most current visual development designs.

2. Data Management & Tracking

• Sparky Mastery: You will be the primary driver for data entry in Sparky (Sony’s proprietary tracking software). You must ensure all data is accurate and that director-approved sequences are published to the editorial department without delay.

• Tracking Documents: Maintain and update complex tracking sheets that monitor the progress of every panel, scene, and sequence through the story and editorial pipelines.

• File Organization: Maintain meticulously organized production files within specific directory structures to ensure the team can access assets instantly.

3. General Production Support

• Reporting: Keep the Producer and PM informed with “real-time” updates regarding departmental status, potential bottlenecks, or technical issues.

• Departmental Maintenance: Manage the “micro-logistics” of the office, including ordering supplies and occasionally assisting with coffee or meal runs to keep the creative team fueled during crunch periods.

• Software Proficiency: Familiarity with asset tracking software and a high degree of comfort with directory-based file management.
